Whats a typical day as an Administrative Assistant look like? Look at the responsibilities:

+ Bill receivable invoices with all the support data to the Customers for FI, SDE and FMWD.

+ Reconcile outstanding receivable invoices with the customers

+ Produce weekly, monthly billed and unbilled AR report for FI, SDE and FMWD

+ Process AP invoices for SDE and FMWD

+ Pay approved AP invoices

+ Keep organized records of all job reports and activities (invoices with all the backups). These records should be quickly available for review.

+ Verify, allocate, post, and reconcile Accounts Receivable and Accounts Payable

+ Reconciliation of bank statements for SDE and FMWD on weekly basis

+ I/C reconciliations for FMWD and SDE by verifying, allocating, posting, reconciling transactions; resolving discrepancies

+ Prepare and record asset, liability, revenue, and expenses entries by compiling and analyzing account information.

+ Perform monthly, quarterly and annual accounting activities including reconciliations of bank and credit card accounts, invoices

+ Liaise with other department/customers/vendors

+ Front Desk:

+ Provide back up during lunch hours and breaks for admin.

+ Professional and prompt handling of inbound calls and other communication.

+ Ensure calls are promptly and correctly forwarded to the appropriate person; take and deliver messages accurately.

+ Promptly welcome and greet guests; notify company personnel of guest arrival

+ Maintain an accurate and complete sign-in / sign-out log.

+ Ensure safety protocols for office are maintained.

+ Coordinate mail handing functions.

+ Maintain a neat, orderly and welcoming reception area.

+ Reserve and prepare meeting / conference rooms

+ Assist with organizing luncheons, meetings, etc.

+ Administrative (Other)

+ Update and release rig reports as needed.

+ Assist with shipping of company equipment.

+ Update and release weekly report as needed

+ Track job revenue, ensure accuracy and completeness of tickets and close out.

Do you the skill set and experience?

+ Thorough knowledge of basic accounting procedures

+ 2+ year experience in accounting

+ Understanding of GAAP

+ Must have good communication skills, hard worker, and team player

+ Must be a self-starter, work independently, detail oriented, accuracy, well organized and the ability to multitask with strong work ethic

+ Computer skills including Outlook, Word, Excel, and QuickBooks

+ Must be able to pass a nationwide background check / drug screening

+ High School Diploma or equivalent required.

+ Bachelors Degree in a related field preferred.
