Full-time: Monday - Friday (8 - 5)

Pay Rate: $15 - 17/hr.

This position will require heavy data entry, so ideal candidate will have strong computer and typing skills. The primary responsibility is to gather information and enter it into "Closer's Choice" software. This will be alpha numeric information, such as addresses, phone numbers, of all parties involved in transactions. Accuracy is critical! Other clerical duties will include but are not limited to: pay reporting, check deposits, monitoring, inputting and forwarding outgoiong and incoming wires, performing title rundowns, O & E searches, updates prior to closing, sending out condominium documents and restrictions, post closing duties and filling in where needed when others are out.

**Essential Duties and Responsibilities:**

The following includes, but is not limited to the **PRIMARY** responsibilities expected to be performed on a daily or weekly basis for this position:

**Order Entry:**

+ Add Real Estate Company and or agent under the Address Book in Closers Choice if they are not in address book (include their email address and cell phone number) Look up Agents email and cell if not provided

+ Order should be entered into the system the same day order comes in. THIS IS A CRITICAL FIRST STEP. INFORMATION and SPELLING MUST BE ACCURATE. Double check your work prior to ordering title. Question anything you cant read clearly by contacting closing team.

+ Email order to title plant with copy to Examiner and Processor

**Other Duties include but are not limited to:**

+ Assist Manager in day to day activities including reporting, spreadsheets, creating flyers, ideas for FaceBook page, put together marketing packets

+ Initiate stale dated check emails/letters and keep log of date and all attempts made including addresses where letters have been sent

+ Initiate wires, monitor incoming wires and forward same

+ Work with accounting during reconciliation to make necessary corrections in Closers Choice

+ Issue stop pay, confirm checks have not cleared through on-line banking

+ Run daily positive pay report should exception come up please contact Manager

+ Deposit checks

+ 1099 Processing and correction

+ Handle Title updates

+ Email condominium declaration/restrictions as requested, check for updates and update M/N drive with initials and date

+ Provide Title quotes

+ Handle miscellaneous phone calls

+ Track employee birthdays and circulate birthday cards at least 3 weeks in advance of birthday

+ Deliver Recordings and/or Tax checks to Sarasota Courthouse as needed to help post closing

+ Assist with post closing matters (i.e. copy of closing statements requested, or title policy) **Confirm callers identity with either last four of social or their drivers license number before sending and send securely through Sharefile or encryption through email if the requested form contains personal information.**

+ Post Closing mail out checks, check recordings for accuracy, prepare Federal Express labels to overnight recordings, insurance or loan packages, make copies for file and prep files for scanning and scan closed

+ Update and add forms into Closing Software

+ Order office supplies

+ Initiate building maintenance required through the intranet

+ Assist in training new employees

**Supervisory Requirements:**

Manager is responsible to oversee this position and duties related to it

+ Ability to Multi-task well

+ Must be able to prioritize

+ Self motivated

+ Excellent customer service skills

+ Must be a team player

+ Must have a positive attitude

+ Must be cross trained in reception duties and post closing.

**Education and/or experience:**

+ High School Education required.

+ Previous title experience preferred but will train right candidate

**Language skills:**

+ Excellent verbal and written skills are required
