Kelly Services is looking for an experienced Admin Assistant/ Project Coordinator



The Project Administrative Assistant is an integral member of the project team responsible for planning, directing coordinating projects to assure customer commitments are met. Provide support to assure a timely flow of all materials, tools, test equipment and paperwork to all project technicians to fulfill customer requirements. Project Administrative Assistant will handle a variety of personnel related administrative duties. Ensuring smooth communication and prompt resolution of all queries and handling confidential matters, supporting with daily administrative tasks and assisting in coordinating processes and relevant documents. Job Related Requirements: May be required to work on religious holidays. Regular and predictable attendance is required. Must work cooperatively with others.



Qualifications: Proficient in Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat MS Project experience preferred Strong typing skills 60 wpm Excellent communication skills including verbal, written and presentation skills. Able to understand written and spoken instructions Strong multi-tasking and organizational skills High school diploma Proven ability to work effectively both independently and in a team based environment Demonstrated willingness to be flexible and adaptable to changing priorities



Essential Duties Responsibilities: The following duties are normal for this job. Establish work schedules and assign to project technicians. Check payroll for the field crews. Make hotel reservations for field crews. Write subcontracts as needed Issue contracts, subcontract agreements and purchase orders. Pull permits and schedule inspections. Coordinate internal and external startup meetings Take meeting minutes and publish to interested parties With supervision - assists in the compilation, preparation, distribution, and tracking of departmental projects and provides reporting with corresponding supporting documentation Assist with putting together manuals, letters, transmittals and submittals Confer with vendors or supervising personnel in order to address questions, problems, and requests Process and track change orders Maintain a contract execution tracking log Prepare substantial completion certificates and ensure all required project close out documents are obtained. Monitor and track parts and /or equipment, on order, and schedule accordingly. Develop and maintain various spreadsheets for customers and project managers Develop and run reports for project managers Make copies of documents and assemble into binders Keep project files organized Review field time tickets and inspection reports throughout the lifecycle of the project. Write and distribute email, correspondence memos, letters, faxes and forms Effectively and accurately communicate relevant project information to the Project Manager and the project team. Keep the Project Manager and others informed about project status and issues that may impact customer relations. Frequently deals with higher levels of management

$18.00/hr.+ DOE
