Office Manager - Promote customer confidence and protect operations by keeping all client and business information confidential. Perform receptionist services, greeting customers and answering phones; review, research and route communications and incoming mail; collect and mail/email/fax outgoing correspondence; copy correspondence; filing; scanning; drafting letters and documents; proofread and review documents for deficiencies; process paperwork and monitor service progress. Coordinate and manage calendar, including morning huddles, weekly team meetings record minutes , dividends and earnings dates, shredding, and holidays; provide reminders to attendees. Receive customers requests by telephone, fax, mail and email; analyze requests; review previous inquiries and responses; gather and research information; alert FA of issues requiring their attention; assemble and forward information requested; verify customer s understanding of information and response; monitor and keep customers informed of service status and progress or direct customers request to the proper person. Record customer inquiries by documenting inquiry and response in CRM. Prepare for client meetings by completing research, preparing reports, maintaining appointment schedule, conferences, and teleconferences; monitor calendars, tasks, and deadlines; provide reminders to attendees. Provide reports to the team for weekly team meeting, daily blotter, CRM open activities, client birthdays, monthly statement inserts, RMD and IRA spreadsheets, obituaries. Update spreadsheets and binders; maintain file server organization. Maintain inventory of research and literature. Deposit checks, process ACH transactions and other client requests. Maintain relationship manager systems and databases; verifying customer and account data by reviewing, correcting, deleting, or reentering data; combining data from a variety of sources when data is incomplete; purging files to eliminate duplication of data; coordinating and maintaining mailing and distributions lists; maintaining effective referral strategy. Manage format of client meeting workflow documents including Meeting Prep Checklist, Agendas, Client Profile, etc. Support office marketing initiatives, community involvement and CRM activities by managing spreadsheets, mailing lists, subscription menu, newsletter format, email templates, etc. Review custodial and account maintenance fees policies; ensure all accounts are linked and eligible for waivers; secure payment and avoid charges to FA. Obtain compliance approval for annual items.
