Position: Administrative Assistant (Supporting I.T. Department)

Reports to: VP Chief Information and Risk Officer Description

Pay: $20/hour

Temp to hire (possible Direct Hire)

**Position Overview**

This position provides administrative support to the Information Technology leadership team. This position also manages local office supplies, visitors and conference room scheduling.


+ Conduct meeting and event scheduling and coordination, calendar management, travel coordination, and communication/correspondence with staff.

+ Create and distribute meeting agendas and record and distribute meeting notes as needed.

+ Keep leadership well informed of upcoming commitments and responsibilities and follow up appropriately.

+ Assist with creation or editing of presentations, diagrams and documentation.

+ Assist with department budgeting and management.

+ Document and manage schedules for recurring software and hardware payments.

+ Coordinate recurring activity calendars, notifying responsible parties and tracking completion, such as for contract renewals and system maintenance schedules.

+ Coordinate procurement activities including invoice processing, product delivery, vendor agreements, and purchasing activities when applicable.

+ Assist with licensing activities, including license documentation and auditing.

+ Assist with inventory management including recording inventory activities, auditing, reconciling discrepancies and asset disposal.

+ Schedule service and repair requests and on-site visits for external vendors.

+ Support physical security activities such as key management and maintenance of door access fobs and alarm codes, when applicable.

+ Order office supplies and manage inventories.

+ Coordinate monitor vendor and guest visits at the office.

+ Manage conference room scheduling.

+ Comparable duties may also be performed for other offices, or other departments in the local offices, when applicable.

**Education Requirements**

+ 3 years administrative experience preferred

+ Proficiency in Microsoft Office Products Office 365, Word, Excel, PowerPoint, Outlook, etc..

+ Microsoft Visio or experience with similar tool is a plus.

+ Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail required

+ Experience with web conferencing and collaboration tools is a plus

+ Work experience with an IT or comparable technical department is a plus


+ Self-starter Ability to work independently, and in teams, to consistently meet commitments

+ Comfortable working in a dynamic and fast-paced environment

+ Utilizes proactive approach to issues and problem solving High personal discipline, attention to detail and work quality

+ Desire and motivation to learn new skills and expand knowledge to improve job performance and self-improvement

+ Strong verbal and written communication skills; ability to communicate effectively with all levels

+ Strives for excellence and upholds organizational standards such as cooperation and confidentiality

**Work Environment**

+ This job operates in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
