I am currently looking for an Administrative Assistant for a growing firm in Milwaukee, WI! Position is open due to growth!

Compensation up to $55,000 annually

Hours: 8:00 am to 5:00 pm

Responsibilities:

1. Coordinates the day-to-day activities of a variety of individuals, managing calendars,

scheduling meetings, conference calls and other appointments, and making appropriate

travel and accommodation arrangements.

2. Maintains daily communication with team leaders to determine assignments, priorities, and

seeks clarification as necessary.

3. Performs a variety of administrative duties in support of the department, project teams, or

group leaders:

- Organizes hospitality such as ordering and setting up lunches and office events

- Prepares presentations and reports

- Prepares correspondence, agendas, meeting minutes, etc.

- May maintain logs and databases for design and construction administration activities

- Assists with budgets and expense tracking

- Understands the importance of team-playing and offers services to assist others when

needed.

5. Assists new hires to the practice group/department so that they become familiar with

administrative procedures, standards and guidelines. Willingly advises them of other

resources within the firm and may facilitate introductions when appropriate.

6. Maintains on-going communication with peers and works to maintain quality standards

within departments through identification of problem processes, potential changes in work

processes, participation in department meetings.

7. Recognizes the importance of confidentiality when working with a variety of documents and

conducts self in a professional manner.

**Requirements**

- Bachelor-s degree in business administration or related field preferred

- 5+ years admin experience, preferably in an Architecture or Engineering environment

- Proficiency in Microsoft Office products including Word, Excel, PowerPoint and Outlook; Newforma and Adobe preferred

- Proficiency with In-Design graphics software a plus.

- Demonstrated ability to support teams/managers in a fast paced, high volume, work environment with a strong desire to support others.

- Desire to work as a true partner with professionals to enhance suburb, accurate, timely service and communicate to internal and external constituents.

- Excellent communication skills, both written and verbal

- Exceptional detail orientation and organization skills

- Demonstrated ability to manage confidential information in a professional and sensitive manner.

- Ability to think ahead - determining what information will be needed and when

- Analytical, problem solving skills to identify and implement solution to issues

- Personal characteristics of self-confidence, resourcefulness, flexibility, initiative, self-motivation, loyalty, willingness to assume responsibility for decisions and the ability to deal effectively with people in a variety of relationships and situations.
