Description **Administrative Assistant**

You will be working long-term contract opportunity onsite at one of our best petro-chemical clients in Freeport, TX

The Office Professional role will provide administrative support to ensure that the department, and the people in the department, are effective in meeting business and site expectations.


+ **Office Support** . Provides support as needed to all department employees.
+ **Microsoft Outlook** - Coordinates meetings and agendas for plant and project team members as needed. Owns/maintains block distribution lists. Owns/maintains block conference room schedules.
+ **Plant Library** . Schedules updates with DMS Library Admin to ensure maintenance on library.
+ EDMS ( **Electronic Document Management System** ), Focal point for WebEDMS, in locating and linking documents.
+ FSM ( **File Share Manager** ), Manages permissions for the plant NT Shared File Services.
+ **SAP-** Accesses cost center reports, as requested.
+ **ARIBA** Purchases of office equipment and supplies
+ **Time & Absence Management Tool** , Reviews time entry for Voranol/SPC. Ensures all time is reviewed/approved by the appropriate supervisors.
+ Vendor Shelving. Focal point through Staples for **Office supplies** .
+ **Microsoft Applications** , Provides technical support to plant personnel for documents, graphs and databases generation.
+ **Special Events Coordination** . Coordinate dinners and gift purchases such as: Service Awards, Thanksgiving, Christmas Party, and Recognition Dinner.
+ **Mail** - Distributes and collects interplant mail, FEDEX, and shipping & handling.
+ **Office Documentation** . – Maintains administrative documents in the plant file server (i.e., phones lists, organizational chart, etc.).
+ **Building Focal Point** for HBS – Floors cleaned semi-annually, Make sure documents are up to date in binders

+ HS Diploma / GED required
+ 3+ years of related administrative experience
+ Strong organizational and communication skills
+ Proficiency with Microsoft programs (Excel, PowerPoint, Word & Outlook)
