The Administrative Assistant I performs a variety of clerical and administrative tasks to support the operations of the assigned program/department and facilitate smooth office procedures. In addition to typing, filing and scheduling, performs duties such as financial record keeping, coordination of meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.


**Responsibilities:**


+ Use computers for various applications, such as database management or word processing.

+ Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.

+ Create, maintain, and enter information into databases.

+ Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents.

+ Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.

+ Complete forms in accordance with company procedures.

+ Schedule and confirm appointments for clients, customers, or supervisors.

+ Make copies of correspondence or other printed material.

+ Locate and attach appropriate files to incoming correspondence requiring replies.

+ Operate electronic mail systems and coordinate the flow of information, internally or with other organizations.

+ Compose, type, and distribute meeting notes, routine correspondence, or reports, such as presentations or expense, statistical, or monthly reports.

+ Open, read, route, and distribute incoming mail or other materials and answer routine letters.

+ Conduct searches to find needed information, using such sources as the Internet.

+ Manage projects or contribute to committee or team work.

+ Mail newsletters, promotional material, or other information.

+ Order and dispense supplies.

+ Learn to operate new office technologies as they are developed and implemented.

+ Maintain scheduling and event calendars.

+ Coordinate conferences, meetings, or special events, such as luncheons or graduation ceremonies. Prepare conference or event materials, such as flyers or invitations.

+ Arrange conference, meeting, or travel reservations for office personnel.

+ Establish work procedures or schedules and keep track of the daily work of clerical staff.

+ Train and assist staff with computer usage, as needed.

+ Participate in and complete performance assessments/evaluations as assigned.

+ Perform other related duties as required.

**Supervisory Responsibilities:** Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities may include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

**EDUCATION** :


**Required:** High School Diploma or GED.


**Preferred:** Associate Degree in a related field.


**EXPERIENCE** :


**Required:** 3 years of experience in secretarial or clerical office.


**Preferred:** 4 years of experience in secretarial or clerical office.


**KNOWLEDGE, SKILLS, AND ABILITIES**


+ Accuracy in spelling, grammar, sentence structure and punctuation.

+ Attention to detail.

+ Microsoft Office Skills.

+ Proficient Communication Skills (i.e. interpersonal, verbal, and written).

**Physical Demands:** While performing the duties of this job, the employee is frequently required to travel between offices and buildings, and requires the ability to lift, carry, push, pull and/or maneuver office supplies as needed.


**Pay Rate:** $15/hr
