Provides administrative and clerical support and administers general office activities. Such activities are clerical in nature and may include pulling together data, preparing reports, handling requests for information, receiving visitors, preparing travel schedules, arranging calls and scheduling meetings. Works within guidelines under general supervision.




Responsibilities / Duties




+ Provides secretarial/administrative support to a group of employees.

+ Provides secretarial/administrative support directly to the department leader(s), exercising confidentiality, tact and diplomacy.

+ Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc.

+ Responsible for facility Document Management, maintains physical and electronic files, library, records.

+ Prepares various reports in alignment with procedures and guidelines.

+ Arranges business travel, coordinate meeting arrangements, manages leaders calendar, and/or track expenses.

+ Receives visitors and directs people to appropriate locations.

+ Arranges calls, schedules meetings, and plans and/or coordinates events.

+ Ensure common and meeting areas are adequately maintained with appropriate supplies and equipment.

+ Administer file shares, web sites, SharePoint sites related to departments being supported.

+ Focal point for Global Records Management, ODMS (05.03.03 Element).

+ Focal point for WebEDMS and document review process.

+ Update department information. Example: Department organization chart, department phone lists, Hurricane/Ripple Lists; department specific information.

+ Focal point for purchase order process with preferred vendor, ordering office equipment, manage vendor shelving (relevant to location), and order office supplies.





Qualifications




+ High school diploma required.

+ Associates degree is preferred.

+ 3-5 years of work experience within the client and/or external in similar industrial environment, preferred.

+ Prior experience or working knowledge of clients Document Management work process, preferred.



Proficient with all Microsoft Office applications.
