The Administrative Specialist will provide a wide range of administrative support to the Environmental Health Services & Sustainability (EHS& S) Staff; including data entry, maintaining files, website maintenance, coordinating calendars and other administrative tasks. This position will also be responsible for helping create new safety standards for the company.

**Job Summary:**

**Location** : NW Indianapolis, IN

**Long -Term contract position** - -12 months or longer

**Hours:** 7:30am - 4:30pm, Monday through Friday (40 hours a week)

**Key Job Responsibilities** **:**


+ Provide daily administrative support to EHS&S Center of Expertise staff
+ Manage calendars and meeting arrangements for EHS&S Center of Expertise staff in Microsoft Outlook
+ Organize and complete travel arrangements for EHS&S Center of Expertise staff with Concur
+ Coordinate visitor arrivals and security checks for onsite meetings
+ Assist in move forms

+ Must be proficient in Microsoft office and be able to streamline and be proactive in helping create new company standards.
+ Assist as required in finalizing reports in adherence to EHS&S Center of Expertise
+ Communicate and coordinate activities with other Administrative Assistants
**Requirements/Skills:**


+ Candidate should be a high school graduate with some college completed
+ 4-6 years of applicable work experience - Work experience could include documentation management

+ Experience and proficiency in Microsoft Expression Web, FrontPage, Dreamweaver or other web management programs
+ Experience and proficiency with SharePoint and Microsoft Office applications, including Access, Excel, PowerPoint, Word, and Outlook are required.
+ Proficiency with internet navigation is also required.
+ Able to design, navigate, and maintain departmental SharePoint site-a plus
+ Able to maintain intranet sites using Microsoft Web Expression on an as needed basis
+ Systems database and expertise required
+ Excellent communication skills, strong organizational skills and high attention to detail are critical for success.
+ Ability to take initiative and work effectively independently and on teams is critical for success.
+ Demonstration of flexibility, self-management, and a very high degree of organization with multi-tasking proficiency while working under critical deadlines is critical for success.
+ Assumes personal ownership and accountability for projects, goals and outcomes; independently plans and executes own work to ensure completion of objectives.
+ Ability to maintain a high level of confidentiality.
