**Job Title:** Administrative Assistant

**Location:** Lititz, PA 17543

**Pay Rate:** $17.00/hr

**Shift:** Mon-Fri 7am – 3:30 PM (required)

**Reports to:** Senior Occupational Health Nurse, or Occupational Health Nurse Interfaces

**Summary:** Health and Safety Coordinator Provides administrative support to Health Services Resources professional team members. Coordinates communications within and between the Occupational Health and on-site employees. Schedules meetings and coordinates logistics. Performs special projects as assigned.

**Job Responsibilities:**

+ Coordinates daily appointments; schedules examinations; surveillance and drug screening programs; and contacts employees regarding tests and examination schedules.
+ Schedules meetings and coordinates logistics and travel.
+ Maintains department records, such as vacations, sick days, and time sheets.
+ Orders Health Services office supplies and selected medical supplies.
+ Tracks inventory on a computer system.
+ Coordinates departmental bills and expense reports, initiates payment and independent correspondence/phone contacts regarding questionable billings before submission to regional office.
+ Initiates work and purchase orders, prepares requisitions.
+ Interacts with vendors.
+ Tracks financial and departmental data; prepares reports utilizing computer systems including Windows-based programs and Sentry.
+ Coordinates and documents incoming short-term disability notices and forms.
+ Maintains departmental record system and administers Medical file system for the inactive and terminated employees based on client’s retention guidelines.
+ Maintains medical file system.
+ Administers Occupational Health program elements in coordination with outside vendors such as LabCorp and off-site occupational health clinics.
+ Processes and reconciles invoices.
+ Directs customers to appropriate Health Services Resources staff member.
+ Identifies and prioritizes office duties and activities and plans work schedules accordingly.
+ Completes assigned special projects according to priorities.

+ High School Graduate with business school/college course work preferred.
+ Administrative/secretarial experience in health-related area or Human Resources highly preferred
+ Excellent computer skills including Microsoft Office Suite.
+ Experience tracking and reporting data.
+ Demonstrates excellent interpersonal, communication, customer service and time management skills.
