Kelly Science & Clinical is seeking an Administrative Assistant (Medical Scientific Affairs, Oncology) to join their team remotely for an American molecular diagnostics company whose systems automate traditional nucleic acid tests that can be used to identify and analyze pathogens and genetic disorders. **Title: Assistant, Medical and Scientific Affairs & Strategy, Oncology**

**Location: Sunnyvale, CA/REMOTE**

**Contract: Duration = ~12 Months, Potential to Convert = No Guarantee (full-time/non-exempt/W-2)**

**Pay Rate: $25.34-44.28/Hour (commensurate with experience)**

**Schedule/Shift: Monday Friday/1** **st**

**Estimated Start Date: ASAP**

Provide administrative services to individual(s) or a department, including calendar management, travel arrangements, expense reporting, correspondence, reception/switchboard, filing, mail delivery and external courier services, data entry, document management services, records management, office security, budget monitoring and office supply orders. Book meetings, document meeting procedures and arrange special events. May provide administrative services to a site/location, typically in the area of print production, mail services and conference room setup. May handle special projects of administrative nature.

Position Summary:

This post will provide support to the Medical Scientific Affairs, Oncology (MSA-O) team. The primary function of this position is to work at the direction of the Associate Manager, Oncology Collaborations to provide logistical and administrative support for the MSA-O team, including assisting with critical contracts and compliance documentation processes critical to the function the various external collaborations in order to generate key data necessary for the success of the Oncology Business Unit. The successful candidate will also provide administrative support and collaborations management support as required to support key functions and efficiency of the MSA-O team.

Essential Job Responsibilities:

+ Work directly with the Associate Manager in the management of all external collaborations for Oncology.

+ Assisting with the management of contracts for various studies and optimizing the tracking process.

+ Help to maintain efficient study contract renewals.

+ Submit and track all invoices for research contracts.

+ Managing logistics for collaborations.

+ Assist with HealthCare Professional (HCP) Process to maintain compliance.

+ Manage and track payments for consultants and research agreements.

+ Manage and track HCP contract renewals.

+ Assist with Sunshine reporting.

+ Assist with shipment of study materials to sites.

+ Work directly with Sr. Lead, Operations, MSA-O to manage all SAB Meetings and logistics.

+ Plan and manage logistics for effective SAB meeting travel, venue planning, budget, etc. according to compliance guidelines.

+ Track and maintain new relationships for RUO study sites.

+ Work with legal to get CDAs in place for each; schedule initial calls with team; help maintain relationship moving forward.

+ Work with legal to execute research collaboration contracts for RUO studies and serve as a liaison between legal team and collaborators.

+ Handle administrative duties including:

+ Plan, schedule, and support the execution of team and outside meetings, including off-site meetings and teleconferences. This may include assisting with coordination with vendors, speakers and meeting logistics.

+ Triage emails, phone, calls, and teleconferences with clients.

+ Review and/or prepare routine correspondence and documents.

+ Act as a liaison with other departments for administrative support.

+ Maintain efficient flow and organization of MSA-O SharePoint site and provide internal team support.

+ Assist with running weekly MSA-O team meetings when needed.

+ Update team meeting agenda before every meeting.

Training Responsibilities (required):

+ Complete all assigned and required training satisfactorily and on time.

+ Ensure your associates attend and complete all required trainings satisfactorily and on time.

Education or Experience:

+ High school degree (or equivalent experience) with 0-1 year of work experience.

Required Knowledge & Skills:

+ Willingness to learn and acquire the organizational skills necessary to carry out the functions of the role.

+ Strong organizational skills.

+ Solid interpersonal and communication skills.

+ Works independently and is team oriented.

+ Must be able to work in a flexible and fast paced environment.

+ Strong interpersonal verbal and written communications skills.

Preferred Requirements:

+ Bachelors degree is preferred, but not required.

+ Proficiency with MS Outlook, MS PowerPoint, MS Excel, and reference management software like EndNote, ability to use PubMed or other search engines to find and download publications from the medical literature.

+ Prior administrative skills are preferred but not required.

+ Ability to travel up to 10-20% of time.
