**Job Description**


Our client a property Management Office is in need of a contractor to cover for 15 week leave. The ideal candidate will have experience working in a Property Management office.

This person will basically handle Tenant complaints, Work order Tickets, mostly email work; some phone coverage; some payroll work (in cronos)

Building Office Administrative Assistant


Currently looking for a hard working, organized and motivated individual with Real Estate, Customer Service background. Candidate will provide administrative support to Property Managers at a Commercial Office Building. Candidate must be familiar with Property Management office operations. Administrative Assistant to provide administrative support to a small team of real estate professionals based in New York City. The successful individual needs to be highly organized and flexible to support a hard working team

.

Responsibilities Include:


Primary administrative responsibilities

:

Answer phones and greet guests. Process tenant request and issue work orders accordingly

Manage team member calendars and schedules (conference calls, internal/external meetings, travel, etc)

Arrange hospitality needs for internal/external meetings

Organization of files and data storage o Maintain Certificates Of Insurance o Maintain inventory of office supplies and ensure office equipment/technology is well maintained o Maintain Lease documents o Create Purchase Orders in Coupa and process payables o Process weekly payroll for building staff


Additional responsibilities: Support all team members within the office , Plan client events , Assistance on occasional research projects , Develop relationships with key support professionals (IT, facilities, HR, etc) within large organization Coordinate travel itineraries for team members that concur with company policies o Assist with team member expense reports and follow up on reimbursement


Knowledge and Experience

Minimum of 3-4 years in an administrative function within a team environment


Incredibly meticulous and organization skills. Willingness to occasionally support team and respond to requests beyond normal office hours.

Ability to process instructions and successfully execute on projects from start to finish.

Strong interpersonal skills and ability to deliver excellent client service. Excellent communication (written and verbal), time management, multi-tasking, and organization skills with strong attention to detail.

Diplomatic and tactful; handle confidential information appropriately. Ability to deal with ambiguity and remain calm/maintain positive attitude under pressure. Demonstrate integrity and serve as trustworthy assistant to team members.


Must have strong grasp of Microsoft Office programs (Word, Excel, Powerpoint)
