Administrative Assistant/Temporary assignment


Middletown, CT

20 - 35 hours a week

Pay rate $15.00/hr.

Job Summary:

The temporary administrative assistant collaborates with other members of Administrative office to ensure effective operation of the office. S/he provides support for administrative staff and is responsible for office management and various administrative tasks and projects.

Tasks/Duties/Responsibilities (will be assigned based on hires availability and schedule):

- Office Management/Customer service

- Schedule and/or arrange conference calls and meetings when requested; maintain schedule of all meetings held in administrative office using a shared calendar; ensure all meeting supplies are properly stocked

- Open and distribute mail delivered to the office each day

- Record all money received

- Process outgoing mail as needed

- Answer general phone line and greet visitors; respond to request for legal assistance by referring individuals to appropriate agency; respond to other requests in an appropriate manner or refer to appropriate staff member for response.

- Monitor general voicemail and return or forward messages as appropriate

- Human Resources/Accounting Support

- Support human resources and accounting functions as needed

- Collect employee travel claims; validate reimbursement claims for payment through payroll

- Collect employee attendance records; track all employee attendance and leave accruals and email quarterly leave balance reports to employees and their supervisors; respond to any questions or discrepancies regarding employee leave balances

- Collect volunteer timesheets; maintain spreadsheet of volunteer hours donated and demographics for funding reports

- Purchasing

- Collect purchase requisitions from all offices; create purchase orders for finance director, deputy director or executive director signature; submit all purchase orders to vendors as appropriate

- Maintain appropriate level of supplies in the administrative office

- Order supplies for the administrative office as needed, following purchasing procedures

- Data Management

- Perform daily conflict checks using case management software

- Run error reports using case management software and distribute to appropriate staff members when necessary; correct errors in case management database

- Run monthly management statistics report

- Supervision Support

- Collect all supervision documents from upper-and middle-managers; save work plans and evaluations to electronic employee folders

- Maintain spreadsheet of all supervision activity; send spreadsheet of supervision activity to all managers quarterly

- Board of Directors Support

- Maintain updated lists of board and advisory committee members; circulate lists as appropriate

- Maintain board reference notebooks and board website

- Schedule board meetings in accordance with board member availability and space availability; follow up with board members to confirm attendance at board meetings

- Order/purchase food for board meetings

- Other duties as needed


Education: Bachelor-s Degree preferred, not required

Experience: At least one year of clerical experience preferred, not required

Skills: Microsoft Office proficient, problem solving, communication, time management

Characteristics: Work well as part of a team, work well in a fast paced environment
