+ Contract position: 8 - 12 months (with possibility of extension)

+ Mon Fri; 8:00 - 5:00PM

+ $21 to $25 per hour (dep on exp)

**Whats a typical day as a Administrative Assistant supporting the Financial Risk Management Global Director and team? Youll be:**

Providing Administrative and Technical support to Global Director of Capital Markets, Venture Capital, Financial & Enterprise Risk Management, the Director of Global Compliance, the Director of Global Operations, and their North American teams in addition to other departmental activities and general team support.

Primary Responsibilities (include but are not limited to):

+ Any routine departmental administrative support activities

+ Daily calendar management for global director

+ All aspects of travel arrangements (airline, car, hotel, visa paperwork, directions etc.)

+ Expense reporting

+ Meeting coordination and preparation (for on and off-site meetings)

+ Provide general support to visitors

+ Answering phones

+ Manage and maintain department and counterparty contacts database and logs

+ On/off-boarding of employees (interview coordination, equipment ordering and set-up, system & security access requests etc.)

+ Office & equipment maintenance focal point (facilities, printers, phones, coffee machines etc.)

+ Order office supplies and serve as department supply focal point

+ Manage process and approvals of department vendor payments (investigate, verify charges, seek approvals, submit payments, and follow-up on status etc.)

+ Write and distribute email, correspondence memos, letters, faxes and forms

+ Develop and maintain filing systems

+ Printing, scanning, copying, creating & distributing binders, etc.

+ Create presentations (manage timely creation of routine presentations, and facilitate ad-hoc presentation needs)

+ Safety Focal Point

+ General reporting (generate, aggregate and distribute reports)

+ Other process related activities (gather counterparty financial statements, etc.)

+ Distribute and follow-up on department documentation, approvals and contracts

+ Run errands as needed.

Must haves:

+ A very strong interest in providing all aspects of administrative support to high performance teams.

+ An understanding that the mission of this role is facilitate the success of the teams in their daily activities, and therefore the candidate must act proactively to accomplish all administrative needs.

+ A self-starter, who asks for additional things to do in any slow times

+ A sense of urgency and proactive mentality, thinking ahead to what will be required to streamline the teams work.

+ Strong analytical and problem-solving skills.

+ Excellent time management skills, the ability to prioritize work, and the tenacity to drive activities to completion by their deadlines.

+ Excellent organizational skills and the ability to multi-task.

+ Strong interpersonal skills.

+ Ability to work with executives and employees of all levels.

+ A positive attitude and ability to maintain composure

+ Excellent attention to detail.

**This job might be an outstanding fit if you have:**

+ High school diploma and some college experience (Associates degree or higher in Finance, Business or Accounting preferred)

+ 3 or more years of previous successful experience in an office professional/administration role

+ Expert user of Microsoft Outlook.

+ Proficient in Microsoft Excel, Word, and PowerPoint.

+ Must be able to navigate the internet.

+ Strong written and verbal communication skills.

+ A minimum requirement for this U.S. based position is the ability to work legally in the United States on a permanent basis (U.S. citizen, U.S. Permanent Resident, or Qualifying Asylee/Refugee).
