**Job Title:** Administrative Assistant

**Location:** West 26th Street, New York, NY 10001

**Shift:** 830am-530pm M-F (onsite)

**Pay Rate:** $25/hour

**Length of Contract:** 2 years (max)

**Job Summary:** Our client is seeking high energy, outgoing, organized Administrative Assistant to support a Senior Leadership team of 9 professionals. You will work in a diverse, complex and fast paced design studio and provide effective, efficient and excellent scheduling and meeting coordination, while also providing support in the daily operations of the Design Studio to make engagements run smoothly Conference Room.

The department is an internal design team responsible for creating desirable, feasible and viable holistic end- user solutions across all of their business groups: Consumer, Pharma and Medical Devices. The ideal candidate will be comfortable working in a laid back dog friendly environment, be proactive, organized, go above and beyond, and be a team player.


+ Maintain calendars for 7-9 Senior Leaders, managing high demand, multiple locations, frequent changes and complex scheduling requests.

+ Prepares expense reports for submission, including management of receipts and online accounts.

+ Supports meeting logistics including ordering and coordinating delivery of catering, requesting IT or A/V Coverage and preparing room with supplies.

+ Manages technology requests and monitor support tickets and mobile phone accounts.

+ Maintains 5 conference room calendars, managing high demand and complex scheduling requests

+ Partners with clients colleagues to provide helpful NYC information to support meetings, including information about appropriate restaurants, hotels and amenities

+ Monitors and maintains productive environment in conference rooms and collaboration spaces

+ Assists in the coordination and execution of staff events and meetings

+ Preregisters guests in corporate entry system and coordinates the greeting of visitors

+ Frequently reviews supply levels to support meeting and studio needs and avoid costly rush orders Design Studio

+ Schedules candidate interviews for new hires contract and full time, including coordination of meeting rooms or Skype, non-disclosure forms, visitor registration and greeting to match practices of Talent Experience and Worksense Program partners

+ Supports Executive Admin and Studio Admin to balance workloads and prioritize time scheduled with Executive and Leadership Team

+ Vacation coverage for EA


+ A minimum of a high school diploma is required. Associates, Bachelors degree or CPS preferred.

+ Minimum of 3 years administrative experience required.

+ Strong interpersonal skills, positive demeanor and ability to communicate with across all levels of an organization professionally and personably are required.

+ Extensive knowledge of and demonstrated expert-level proficiency with Microsoft Office programs Word, Excel, PowerPoint, Outlook, etc. a must

+ Must be extremely professional in your interactions; resourceful and proactive in your approach; an empathetic, people-oriented problem-solver who thrives on multi-tasking and loves to help people.

+ **This position is based 100% at the NYC campus and will require little to no travel.**
