**_Job Summary:_** _The Administrative Assistant will be responsible for the administrative and organizational management of the office with strong communication skills, able to problem solve and anticipate the needs of various stakeholders. Operating under a team approach with each person being a critical component of success. Must be able to take direction as well as think ahead. Most importantly, a candidate that can thrive in an environment that is evolving every day._

**_Job Type: Temporary to Permanent_**

**_Shift: Monday Friday, 8am-5pm_**

**_$17/HR Negotiable based on experience_**


+ Manages calendars for multiple stakeholders. Schedules and cancels meetings and revises calendar(s) based on priority and important changes

+ Coordinates travel arrangements

+ Produces, formats and edits correspondence and documents

+ Creates and maintains necessary tracking/coordination of spreadsheets and other documents

+ Schedules department events, conference facilities, weekly/month department meetings, and coordinates orders of food where necessary

+ Types dictation and administrative correspondence as assigned including meeting minutes and preparing informational packets

+ Ability to work independently and prioritize multiple tasks under minimal direction

+ Strong communication skills, including face-to-face, telephone, and computer skills

+ Must be able to interact successfully with internal and external customers, presenting a positive and professional image

+ Demonstrate flexibility and the ability to manage and respond to multiple priorities and shifting demands while maintaining the sense of urgency and intensity that the office requires

+ Acts in accordance with Company and Department(s) standards in handling/resolving/ensuring customer services. All internal/external customer concerns/needs are resolved and handled in a timely and effective manner

+ Performs filing of materials as requested

+ Stock and maintains inventory of office supplies

+ Adheres to the safety policies of the company

+ Perform other projects/duties as assigned

+ Bilingual preferred


+ Possess excellent communication, interpersonal and organizational skills with the ability to build strong relationships

+ Skilled in exercising a high degree of initiative, judgment, and discretion

+ Skilled in exercising a high degree of integrity and discretion when handling or informed of propriety and/or confidential information

+ Ability to prioritize assignments, meet deadlines and provide continued feedback on status of assignments

+ Ability to complete simultaneous tasks with frequent interruptions while paying close attention to details

+ Ability to work independently, as well as in a team setting

+ Ability to work in a fast-paced environment with a variety of personalities and work styles

+ Ability to work well under pressure with tight deadlines and with a sense of urgency

+ Ability to be flexible in schedule and adaptable to constant change and willingness to assist


+ Graduation from an accredited two (2) year college with a major in secretarial science, business administration or related discipline

+ Requirements for education may be substituted for (2) years' experience as an Administrative Assistant or in a related field preferably in a healthcare organization

+ Must possess excellent skills in typing (50 wpm accurately)

+ Must maintain confidentiality

+ Must have a strong working knowledge of Microsoft Outlook, Word, and Excel

+ Exceptional customer service skills, over the phone and in person, with our patients and internal departments

+ Strong sense of urgency and problem-solving skills
