Administrative Assistant STEM Scholars Grant program

Here is a fantastic opportunity for someone with 2 years of experience in student/customer service and one (2) years of clerical work experience in an office setting, which may be concurrent. This talent would be able to commitment to working 25 hours a week in a college setting.

This position is an administrative support position for the LSAMP and S-STEM grant programs. S/he is responsible for:

Serving as the primary point of contact for the STEM Scholars program

Organizing and maintaining student data/records

Enabling the STEM Scholars Committee to increase efficiency

Working as a team member to ensure grant objectives are reached

Providing clerical and secretarial support to two separate programs

Given the nature of the position, this person functions independently and is responsible for critical data used for federal annual reporting purposes. S/he is expected to exercise sound judgment on issues that arise, especially in dealing with high school aged youth and their parents/guardians.

Essential Duties/Major Accountabilities:

A. Maintaining crucial documents/files

B. Purchasing, Budgeting, Accounting

C. Provide superior customer service

D. Coordinates Professional and Peer Tutoring and Mentoring Scheduling

E. Enables the Director to increase efficiency and effectiveness

F. Administrative coordination and other duties as assigned

Minimum Required Knowledge, Skills, and Abilities:

1. Associates degree from an accredited institution.

2. Two (2) years of experience in student/customer service and two (2) years clerical experience in an office setting, which may be concurrent.

3. Experience and demonstrated proficiency at the basic level with MS Word, Excel, and PowerPoint. Must have the ability to set up and use Excel documents for various budget and data gathering and set up files that are used for grant data management. Ability to transmit reports on line.

4. Excellent judgment skills in terms of interpersonal communications and the ability to deal with faculty, staff, students (including minors) and the public with tact and courtesy.

5. Excellent verbal and written communication skills.

6. Ability to work successfully in a high stress environment, handling multiple tasks simultaneously and ranking task by priority.

7. Ability to work with accuracy.

8. Take accountability for and ownership of work, job, and office operations. Must be dependable and reliable.

9. Ability to be flexible and adapt to changing work situations.

10. Ability to maintain confidentiality on all information regarding student records, faculty and student communications and personal matters.
