Kelly Services is seeking candidates for a part time **Administrative Assistant** role with an industry leading, Fortune 500, global, chemical manufacturing company, in **Midland, MI.**


Willingness to support a large, diverse open work environment. Applicant must be willing to learn various company systems and procedures as needed and appropriate. Require knowledge of Microsoft Word, Outlook, Excel, PowerPoint. Applicant must be an effective communicator verbally and via email to various department employees at various management levels. Attention to detail and follow up are a must, along with taking initiative and job ownership and ability to prioritize many tasks amidst constant interruption. Strong interpersonal effectiveness and positive attitude to work closely with others is critical. Must be sensitive to confidential matters. Previous administrative support work experience would be advantageous.


Working closely with the full-time administrative assistant, this is a part-time role (approximately 20-24 hours/week), coordinating and monitoring the day-to-day activities/requests of 100 plus engineering and technical employees including various leaders. Serve as department resource person managing requests which can vary frequently from a timing and priority standpoint. Must be an excellent communicator, self-starter, detail-oriented, and able to work independently. Must be able to display initiative to prioritize/manage magnitude of requests under pressure to meet frequent deadlines critical to the efficiency and success of the department and company. Duties: Assist as valuable support resource for the work group. In addition to 100 plus Midland-based employees, also assist with various requests from department director and staff physically located at other sites/countries. Act as support and focal point for frequent out-of-town visitors. Work closely with other administrative staff inside and outside of Midland to keep global network and resource contacts and to allow for open communication and sharing of information. Maintain a positive relationship and build resource base/network with miscellaneous groups outside of the company, e.g. travel agency, I/T support, food vendors, Xerox, facility management, Security, mailroom, custodial staff, etc. Assist with various requests, know where to find answers, be comfortable reaching out for information/answers/direction not readily accessible within a new organization. Assist with creating and updating various email distribution lists, administrative secure links, employee checklists, various other department lists. Assist in arranging departmental events, i.e. recognition events, retirement events, various frequent meetings. Includes food orders, conference room reservations/set up, clean up, any/all necessary details required for successful events/meetings. Assist in inputting and following up of Maximo Service Requests for various requests within building as needed/requested by our work group. Assist with onboarding/offboarding of employees including ordering of workstations, organizing work space, nameplates, all administrative tasks relative to getting employees onboarded/offboarded to allow for a smooth transition, and assuring all tasks are done in a timely manner. Assist with special projects as requested/needed, i.e. community partnership support, events within building involving all residents, visitor meeting schedules, miscellaneous requests on a frequent basis. Responsible for arranging domestic and international travel for employees. Documentation and preparation of visas and passports when needed. Maintain travel log and travel profiles of travelers updating on a continuous basis. Act as key operator for Xerox copier. Involves troubleshooting and contacting appropriate service if/when needed. Responsible for miscellaneous department errands as requested/needed. Handle special supply requests through local vendors, Amazon, etc. Handle occasional office supply ordering for employees.
