PRINCIPAL ACCOUNTABILITIES:


Oversees all maintenance of office equipment. Screens and distributes phone calls for Saginaw. Responsible for mail and faxes: o Distributing incoming mail and preparing outgoing mail. Maintains a calendar for meetings, travel, etc. Maintains, inventory, supplies and organization of supply cabinet. Prepares monthly reports. Assists with maintaining contracts and lease agreements. o Obtains quotes from vendors for outside services. o Prepares and submits contracts for approval. Maintains divisional payroll processes, records and payroll tracking for Saginaw. Responsible for the accounts payable functions at the divisional level. Purchases by obtaining competitive quotes and issuing purchase orders. Receives all incoming supply orders.



Responsible for the administration of corporate credit policy for new vendors and request of taxpayer ID numbers and sales tax exemption certificates from vendors. Maintains vendor insurance certificates for Saginaw, within the guidelines of the accounting policy. Petty cash management and distribution. Responsible for all travel logistics (air, hotel, cars) for divisional personnel in accordance with the corporate travel policy. Responsible for coordinating and conducting employee events: meetings, special functions, etc. Assists the Saginaw Management Staff, as needed. Maintains all files. Coordination, preparation and scheduling of divisional record retention within the guidelines of the corporate policy. Assists in the maintenance of the MP2 System. Completes various aspects of HR administrative work for Saginaw, such as: o AAT (Absenteeism, Accidents, Turnover) o Service Awards o Organizational Chart Maintenance o Maintain the Attendance Policy o Bulletin Boards o Emergency Phone List o Training Matrix o Training Evaluation Calculations o Uniforms o Corporate HR Memo Distribution o Safety Lens (prescription) o Recognition Certificates o Maintaining Personnel files for Saginaw. o Hourly Hiring Process (pre-employment, grading, handbook orientation, and hiring costs) NHPP Saginaw Meeting Minutes for various meetings. Responsible for weekly generation of employee schedule.
