**Job Description**


Administrative Assistant with HR Experience

Temp-to-hire

Full Time: 8:00 a.m. - 5:00 p.m.

$17.00/hr.


Synopsis: The HR Administrative Assistant will serve as the front desk liaison to provide HR support to our Team Members and HR Staff; as well as perform administrative tasks and services to maintain effective and efficient operations of the HR Department.


Position Summary: Reporting to the HRBP Leader, the Administrative Assistant will work with the HR Staff to proactively & strategically manage all office administration. They will serve as an HR liaison for Team Members to connect them with the appropriate resource/s by providing exceptional customer service within a busy, fast-paced office environment.


This role requires outstanding resourcefulness, superior attention to detail, and the ability to meet tight deadlines while juggling multiple requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with staff and customers is imperative. The ability to display situational adaptability is required.


Additionally, the ability to work successfully in a team environment and build effective working relationships inside and outside the team is essential.


The ideal candidate will have at least 2 years of experience working in a fast-paced environment, managing multiple complex calendars, while providing excellent customer service.


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.


Act as the first point of contact for the HR department; answer and direct Team Member questions relative to company policies, benefits, hiring processes, etc.; refers more complex questions to the appropriate HR staff or leadership. Schedule appointments as appropriate.


Acts as a custodian and maintains the integrity and confidentiality of human resource files and records.


Assist with the streamlining and simplification of processes to ensure efficient HR operations; support various projects as needed. Apply professional, business and technical knowledge to continuous process improvement within the department and in the company.


Proactively provides clerical support to the HR Staff.


Administer calendar for HR Conference Room.


Facilitate daily HR huddle and meeting notes.


Arrange travel bookings and itineraries for business trips.


Track and file expenses per company procedures. Organize and oversee purchases of office items.

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. - Ability to work positively and productively in fast-paced environment. - High level of proficiency in use of Microsoft Office - Word, Excel and PowerPoint. - Ability to develop relationships at all levels in production and support areas - Outstanding communication skills; verbal, written and presentation/facilitation skills. - Ability to organize and prioritize multiple projects, activities and deadlines. - Ability to work independently and with initiative. - Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. - Excellent organizational skills and attention to detail. - Proficient with or the ability to quickly learn HR Information System (HRIS) - Ultipro. - Display self-awareness.


EDUCATION and/or EXPERIENCE - High School Diploma or equivalent required.

- Two years of administrative assistant experience in a fast-paced environment preferred.

PHYSICAL DEMANDS / WORK ENVIRONMENT The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. - Usual office and manufacturing environment involves frequent sitting and occasional walking, stooping, kneeling, and standing. - Frequent use of eye, hand, and finger coordination enabling the use of office machinery including telephone, personal computer, copy machine, facsimile machine, and 10-key calculator. - Oral and auditory capacity enabling interpersonal communication as well as communication through automated devices such as the telephone. - Ability to move from department and buildings to attend meetings, and interact with employees.


TRAVEL REQUIREMENTS Ability to travel occasionally domestically.


Occasional: activity exists less than 1/3 of the time. Frequent: activity exists 1/3 and 2/3 of the time.
