Kelly Services is seeking an experienced Administrative Office Assistant in for our client in Frankfort, IL.

This is a Direct Hire, Permanent position, meaning you will be hired permanently with our client and offered their competitive benefit and vacation package upon hire.

**Job details:**


Hours are 8am 5pm

**Job duties:**

+ Working directly with supporting the CAO, President, CEO and CFO

+ Maintains office services by organizing office operations and procedures; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.

+ Check processing on all accounts payable transactions and approval on all receivable transactions

+ Prepare and maintain payroll and employee records

+ Manage, audit and process monthly royalty and rep commission checks

+ Assist in the completion of the annual accounting reviews

+ Process year end 1099

+ Preform yearly performance review

+ Month end reports and close modules

+ Tracking of fixed assets

+ General ledger maintenance, post monthly standard journals

+ Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.

+ Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.

+ Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.

+ Completes operational requirements by scheduling and assigning employees, following up on work results.

+ Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.

+ Maintains office staff by recruiting, selecting, orienting, and training employees.

+ Maintains office staff job results by coaching, counseling, and disciplining employees, planning, monitoring, and appraising job results.

+ Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.

+ Achieves financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.

+ Manage and direct overall operations

**Skills needed:**

+ Must have experience and understanding of finances and P&Ls of how to manage and audit office money for spend and savings

+ Must be detail oriented

+ Data entry skills

+ banking requisitions & ledgers

+ Sage 100

+ QuickBooks; or similar EPR software

+ Intermediate Excel skills for spreadsheets

+ Savvy with computer and how to look up e-commerce sites

+ Experience in managing office tasks

+ Experience in recruiting & hiring process

+ Payroll knowledge
