Administrator/Project Coordinator

Possible Contract-to-Hire Opportunity!

Location Brookfield, CT

Hours 7am-5pm M-F

Pay rate $20.00-$25.00/hr. DOE

Responsibilities include but are not limited to the following:

- Administrative duties:

Calendar management; pre-qualification of contractors; insurance and bond requirements for bids; managing work orders and billings; handling Mail/FedEx; ordering supplies

- Accounting:

Inventory transactions via Timberline; billings; bank reconciliations; general ledger reconciliations; job Cost reconciliations; assisting with insurance audits; Medical, Dental, Vision, LTD Management; 1099 end of year processing

- Project Management:

Assemble submittal packages; attend pre-bid and project meetings; order material and coordinate deliveries; communication with field personnel; assist in processing and posting of drawings/specifications; prepare and maintain contract/subcontractor /vendor files; prepare project files (electronic & paper); set up and maintain project logs (submittal, RFI, change order, etc.); assist in preparation of subcontracts and purchase orders; Submit and track change order requests; assist in project close out as directed by the PM (manuals, warranty letters, as-built drawings, etc.); assist in the preparation/forwarding of submittals, shop drawings and other documents to the CM or Owner; track return of submittals and distribute among PM team; prepare and submit project specific safety manuals; facilities & property management.



- Solid PC skills: Microsoft Office, Excel & Timberline/Sage 300

- Knowledge of construction terminology and practices

- Effective communication and interpersonal skills

- Ability to maintain positive working relationships with individuals at all levels of customers, suppliers, vendors

- Ability to interpret and respond to feedback and criticism appropriately and resolve conflicts and issues professionally

- Ability to manage multiple projects and responsibilities

- Ability to tolerate frequent interruptions and frustrations calmly

- Attention to detail

- Strong oral and written communication skills

- Ability to work as part of a team.

- Ability to maintain confidentiality and demonstrate trustworthiness and discretion with many types of confidential information.
