Description and Requirements

The Associate Director, Project Management will hold the ownership and be responsible for the governance of a portfolio of projects for assigned clients. Owns leadership and management of a team of Project Management professionals. Driving Project Management to establish and manage the consistent application of processes for all project phases. The Associate Director will own the day-to-day management of Process Improvement Initiative, Project Management professionals, strategic client relationships and project portfolio oversight, meeting or exceeding client expectations.

EDUCATION REQUIREMENTS:
  • Bachelors degree in related field and/or 7-10 years related experience and/or training in a clinical project management environment (e.g., CRO, pharmaceutical company, or other centralized service provider used in clinical studies) or the equivalent combination of education, skills and experience to perform the job.

QUALIFICATIONS/EXPERIENCE:
  • 5+ years supervisory and direct as well as indirect Line Management experience with a track record of developing talent and succession planning.
  • Excel in client management and a demonstrated ability to positively engage with customers.
  • Advanced knowledge of project management software tools and management techniques.
  • Possess demonstrated experience in developing robust processes supporting clients on projects and tailored client governance structures such as KPIs and Metrics.
  • Must have firsthand experience with all stages of the project life cycle, from requirements gathering to release, as well as successful delivery within a regulated framework.
  • Ability to function effectively in a fast-paced matrix environment and manage multiple priorities simultaneously.
  • Demonstrated/Proven/ Advanced leadership skills and ability to manage, motivate, and integrate a team.
  • Excellent problem solving/decision making skills.
  • Ability to perform deep dives coordinating and facilitating a company-wide solution-based approach.
  • Proven and effective project management experience at senior level.
  • Demonstrate conflict and negotiation skills.
  • Excellent interpersonal skills. Ability to lead through influencing and negotiating.
  • Ability to multi-process, including strong analytical skills with a solution-based approach, driving key business initiatives to conclusion followed by process/initiative adoption.
  • Advanced knowledge of MS Office, specifically Word, Excel, Access and PowerPoint as well as Adobe, Visio and MS Project and the ability to produce detailed reports and presentations using these tools.
  • Must have patience and tolerance when working with ambiguity and processes/systems which are still under development with a willingness to be involved in operational detail to achieve.
  • Willingness to explore client opportunities whilst support business development and repeat business

ESSENTIAL DUTIES/RESPONSIBILITIES:
  • Provides leadership in oversight of services to clients, reviews work produced by project teams, and ensures that staff fulfills their responsibilities in accordance with project contracts and Company policies, procedures and SOPs.
  • Develop and manage department budget.
  • Possess a thorough understanding of specific aspects of work supervised and practical application to escalate issues and situations encountered.
  • Experience in strategic analysis, risk and contingency management, resource allocation, and scope management.
  • Lead/Chair departmental meetings on rotation. Work closely with cross-functional teams and stakeholders at all levels to improve processes, decrease silos and improve efficiency.
  • Provide timely and audience-specific status reports in support of defined metrics to senior management and other key stakeholders.
  • Present study services at client meetings, support cross-functional education sessions and support governance committees and meetings with clients.
  • As part of project oversight and reporting, continuously assess departmental and cross functional risk factors and recommend appropriate courses of action to mitigate.
  • Other duties as assigned by supervisor. These may, on occasion, be unrelated to the position described here.
  • Attendance and punctuality are essential functions of the position.

  • Succinct and accurate updates with an ability to proactively manage Root Cause Analysis (RCA) and Corrective and Preventative action plans (CAPAs).

SUPERVISORY RESPONSIBILITIES: 
  • Provide Direct and Indirect supervision of project management professionals as well as client project portfolio relationship oversight and governance.
