Location: Case Western Reserve University

Hours: 8:30AM to 5PM (Monday - Friday)

Payrate: $12.93


1. Serve as a resource person for students on completing necessary paperwork and following proper clinical protocol procedures.

2. Assist in maintaining daily, monthly, and yearly financial records for clinic income.

3. Assist in auditing patients- accounts. Assist students and patients in resolving procedure, charge, and/or payment conflicts. Submit all recommended adjustments to charges as necessary after review to the supervisor for approval.

4. Process delinquency notices to patients whose treatment is completed but not paid in full. Follow up on monthly notices and report to supervisor when outstanding amount or time frame exceeds established policy for submission to outside collection agency.

5. Log all payments. Open mail and distribute to personnel within the department.

6. Assist the accounting clerk 3 and supervisor in coordinating the filing of insurance claims for third party payers, Doral, Ohio Medicaid, Bureau of Workman-s Compensation, and similar government agencies. Maintain data for departmental records/reports. Assist department supervisor with calculating adjustments to payments for Doral Medicaid, post payments and adjustments identifying check number and date.

7. Verify Case Western Reserve University student health insurance, Case dental benefit insurance, and School of Podiatric Medicine insurance coverage. Calculate discounts for the plan. Process files and paperwork to identify plan and information for reports.

8. Post payments and charges to patients- accounts using the dental software axiUm. The posting involves: collect and post payments (cash, check, MasterCard and Visa). Verify and enter payment information from cash slips. Information in treatment plan must be verified for correct fees, department and type of treatment.

9. Assist in the annual audit of all patients- accounts of graduating seniors and/or residents. Compare treatment written in patients- chart to fees charged to patients- account. Document and adjust patient account in computer and chart. Void and/or transfer grading sheets. Sign students- check out sheet.

10. Assist in implementing and documenting accounting policies and procedures.


1. Must have good communication, organizational and problem solving skills.

2. Understand the importance of, enforces and practices confidentiality.

3. Self starter with ability to work with minimal supervision.

4. Knowledge of third party and Medicaid reimbursement procedures.

5. Understanding of insurance forms.

6. Ability to manage multiple tasks, deadlines and work well under pressure.

7. Honesty, integrity and confidentiality are a must due to the high volume of cash and credit card activity along with unlimited access to patient records.

8. Ability to keep a positive attitude when working with difficult situations.

9. Data entry, proficiency with Microsoft Word and Excel.

10. Knowledge of dental practice management software.


Experience: 2 to 3 years general office or customer service field with cash handling experience. Experience with American Dental Association and Ohio Medicaid codes preferred. Experience with medical data entry, Excel and Microsoft office in a network environment is required. Accounting experience and/or working knowledge of dental terminology are preferred.

Education/Licensing: High school education required.
