**Bookkeeper - Part Time - 24 hours a week -** **Direct Hire** **- $25/hour**

**Non-Profit Experience Required**

**Job Description:**

The Bookkeeper is a key member of the Administrative team, responsible for assisting with accounting and bookkeeping functions, ensuring all financial information is appropriately and accurately recorded in the accounting system, completing booking and accounting tasks and assisting our primary accountant with preparing both the monthly and year-end financial statements. This position will focus heavily on accounts receivable and accounts payables but incumbent must be able to roll up their sleeves to assist in a wide variety of accounting tasks if needed. S/he will work closely with our staff with the goal of ensuring participants have access to the maximum food and nutrition benefits available to them through local, state, and federal programs.


**General Ledger**

-Review general ledger and prepare journal entries/adjustments as needed to correct balances as assigned

-Assist in the transaction preparation, posting and reconciliation for all books of account and related journals

-Reconcile general ledger accounts and bank statements as part of closing out the month, the year, and grants

-Prepare grant reports with supporting documentation in collaboration with grants compliance and program staff.

**Month End Closing**

-Assist Staff Accountant with the monthly accounting close process and meeting reporting deadlines

-Assist in creating daily and monthly journal entries for approval as assigned

-Assist in monthly revenue recognition journal entries as assigned

-Develop, assign and review monthly account analysis.

**Accounts Receivable**

-Process and record daily electronic deposits QGive batches, daily check receipts, etc.

-Assist in contract management, product and service invoicing and ensure grantors are billed accurately and timely

-Analyze accounts receivable aging reports to determine if there are any issues

-Assist in managing and coordination of follow-up with grantors regarding outstanding payments.

**Accounts Payable**

-Review and distribute vendor invoices to appropriate manager for approval for payment

-Enter invoices into QuickBooks and print checks as requested

-Complete payments and control expenses by receiving payments, plus processing, verifying and reconciling invoices.

**Annual Audit**

-Create and enter closing entries and those prepared by the external auditors

-Prepare year-end work papers as assigned by the Director of Administration or requested by the external auditors

-Create or gather all documents requested by the auditor, provide on-site support during audit fieldwork, and help review and approve the audit draft before statements are finalized.

**Other Responsibilities**

-Help prepare Quarterly Investment reconciliations

-Help determine quarterly tracking of and reporting of restricted funds/net assets as needed

-Record inventory adjustments throughout the year

-Submit state registration for fundraising activities as assigned

-Help prepare bi-weekly payroll and appropriate distribution to retirement plan accounts

-Do other tasks as assigned from time to time by the Director of Administration and


**- Minimum of 1-2 Years Bookkeeping Experience**

**-** Associates Degree preferred (not required)
