What we are looking for:


The Manager, Coordination and Administration is a key management role in the leadership team. We are looking for this role to lead operations coordination and administrative team comprised of Coordination supervisor/lead, Project Coordinators, Dispatch, Warehouse, Safety and Service Billing positions. This role is to provide leadership to implement coordination processes, provide business support on new and existing customers, financial overview, supporting department managers, safety and warehouse oversight. The candidate must be able to lead and realign coordination and administrative team goals in accordance with our vision and customer requirements. Candidate is to possess leadership, communication, analytical and problem-solving skills.


The Manager, Coordination and Administration must work, in close cooperation with the Director of National Operations, and all Department managers for meeting financial goals, schedules, quality, controlling/driving supporting all costs savings initiatives, continuous improvement and lean practices while promoting good employee and community relations.


This position is integral to provide a strong collaboration inter-departmentally to unified working relationships and practices. This position is responsible for the attainment of the operational goals in Business as well as managing direct staff to support the implementation of vision & strategy.


What you will be responsible for in this role:


Lead and supervise all the direct and indirect reports to support operational activities for the business.


Manages the external and internal customer requirements for the Consults with Program and Department Managers to support and maintain all requirements.


Partner with Controller/Accounting Group on Ops/Accounting processes and training, documentation requirements for the business.


Manage the contract review process from customer, General Contractor (GC) and work with legal before project execution per company policies and procedures.


Analyze and prepare business and department performance analysis reports and presentations. Including but not limited to monthly/quarterly reporting, preparation of historical data for bidding purposes, documentation process, and postmortem analysis by project.


Lead and coordinate preparation of monthly forecast, AOP and other financial performance review with each department leaders and project coordinators.


Final review and approval of all estimates and direct cost into job cost/Project Management contract module before project approval, including change orders.


Lead investigation on any billing, contract or change order issues with internal and external customers and Department Managers. Plans and presents resolutions to Department Managers to mitigate additional escalation.


Provide leadership and support to warehouse and safety new initiatives and daily operations.


Manage the process together with the Import/Export Manager as the Trade Compliance Lead, to maintain all required compliance documentation including visual compliance.


Support marketing and sales request.


Partner with HR team for adding resources as needed.


Other duties as assigned based on business needs.


What are the basic qualifications?


Bachelors degree in Construction Management, Business, Finance or similar


10+ years in the Project Coordination/ Construction Management leadership or similar role within General Contracting or Commercial Construction


What are the preferred qualifications?


Masters degree in Construction Management, Project Management, Business, Finance, or similar.

Proficient in Project management and ERP softwares.


Driven to provide outstanding customer service to both internal and external customers


Ability to manage multiple efforts in a high pressure, fast-paced environment is critical.


Experience with construction business practices, safety, and construction contracts.


Willing to travel for inter-company meetings or conferences if needed (~5%-10%)


Work Environment:


Usual office work environment


Overtime may be required in meet project deadlines
