**Schedule:** Monday- Friday, 8:00am to 5:00pm

**Pay Rate** : $22.00 per hour

**Primarily serve 4 functions:**

1) Copy Center our staff prints, copies, scans and binds jobs for the in-house customers every day (think a FedEx Office location inside of Nike, for example);

2) Mail Room receiving, sorting, delivering packages and mail;

3) Reception Answering phones, greeting visitors, etc.; and

4) Hospitality Setting up for meetings, ordering catering, post meeting clean up.

**Day to Day Responsibilities for a** **Cross Functional Representative:**

Supports the daily operations of one or more MS locations including any or all of the following: copy production and finish work, operation of a mail center, receptionist, audio visual, administrative duties as assigned, maintaining billing logs and reports. Supports the regions MS logs and reports, the MS services during implementation and fills in for absences and vacations throughout the Ricoh locations, as well as assists during start-up of new accounts. Responsible for supporting operational objective at all existing customer sites within a geographic territory. This position reports directly to the Site, Operation Manager or the IAM, depending on marketplace personnel configuration.

Assists new MS site implementation.

Assists Site Manager or Supervisor in offering suggestions for improvement. May include new suggestions or suggestions to existing processes or procedures.

Assists in the training of new and existing employees.

Maintains accurate, complete, and up to date Site Procedure Guides, Forms and Logs, and other Site Branding as directed by Site Manager or Supervisor.

Collects data for the completion of the Monthly Management Report as directed by the Site Manager or Site Supervisor.

Orders paper, toner and other supplies as directed by Site Manager or Supervisor. In the absence of onsite personnel, may perform any of, but is not limited to the following duties:

Processes all incoming and outgoing mail.

Performs other mailroom functions, such as mail fulfillment, which includes sorting, filing, packaging, and processing shipments for delivery to multiple locations.

Filing and labeling of documents and other materials for storage and retrieval.

Shipping and receiving, including the movement of boxes and or equipment.

Provides Courier Service for the pickup and delivery of mail and copy jobs, on campus and offsite.

Assists in the Copy Center and performs all functions required for the delivery and completion of all copy requests. May include the usage of binding, folders, laminators, etc.

Performs basic troubleshooting on all equipment used within

Assists in the coordinating of work assignments to meet specific deadlines and service deliverables.

Manage all aspects of the RICOH Center in the absence of the Site Manager or Supervisor.

Directs or leads the Daily Huddle in the absence of the Site Manager or Supervisor. For one person sites, attend the Daily huddle via conference call.

Performs Front Desk Receptionist duties.

Performs other duties as required. Additional Duties and responsibilities: Meet and greets all visitors and employees to the firm, providing them a professional welcome, going above and beyond in their service approach

Schedules meeting rooms, ensuring that each conference room has the necessary supplies, beverages, video conferencing etc. prior to the clients meeting times

Answers all incoming telephone calls made to the firm, by following firm/Ricoh phone etiquette expectations and ensuring communication at a professional level.

Engages in company and community service events or firm initiatives, philanthropies

Performs light clerical/admin asst duties

Performs a broad range of clerical duties that require knowledge of legal procedures and terminology as required.

-Prepares documents, maintains files and calendars, schedules appointments and meetings as required.

-Prepares legal documents and correspondence from draft or dictated text as required.

-Manages calendars and assists in meeting deadlines as required

Provides light housekeeping duties, maintaining an organized workspace

Provides value added services as approved by Site Manager/Supervisor

Builds professional relationships with clients as well as employees within the firm

Educates themselves on the firm culture, the key people, the roles of those key people and assimilates themselves into the culture

Understands firm culture and expectations in regard to greeting clients and other visitors to the firm

Maintain proper visitor and guest security procedures as laid out by the firm

Monitors whereabouts of attorneys and staff in order to appropriately handle telephone calls, visitors and/or questions

Serve as firm concierge in regard to guests, clients and staff, familiarizing themselves with the area, restaurants, coffee houses etc.

Maintain professional appearance and cleanliness of firm lobby Orders supplies when necessary, organize supply room, supply closets etc.

Performs light hospitality when necessary, coffee, water, order food, drinks

May be responsible for assisting with issuing and keeping track of customer property (ID badges, cellular phones, phone/address book, Company directory, etc)

Performs other duties as assigned


+ Requires high school diploma, GED

+ Looking for someone with solid customer service skills and that can be on time.

+ Experience with Microsoft Office suite especially Excel preferred.

+ We are looking for someone who presents a positive & professional image, who is a self-starter with a successful track record of customer service.

+ Be able to learn complex processes quickly and be flexible enough to work in several different roles, as mentioned above.

+ Previous experience in Copy Center, Mail Room or Restaurant/Hospitality roles would be a plus! Standing or walking is extensive as every day is different, however, those things are a part of the job, and it is not inconceivable to think that a person would be on their feet 5-6 hours or more.

+ Be able to lift 50lbs (a standard case of copy paper) without help.

+ This person will work at multiple locations, primarily in the downtown area and will be reimburse for parking.

+ The candidate has the opportunity to become perm.
