Description **Job Description**

General Purpose:

This position is responsible for ensuring accurate and timely completion of all customer-related inquiries, order processing and complaint resolution. As part of a small team, representative must be flexible, willing to learn new things and embrace change.

Essential Duties and Responsibilities:

- Interacts with customers to provide information to inquiries about products or services, provides product support, quotes, pricing, installation information and to handle and resolve complaints

- Communicates with customers through a variety of means: telephone, email, fax, regular mail, etc.

- Process, enter and prepare accurate documentation of customer orders to production

- Process returns, RGA-s, R/A-s, call tags, restock fees etc. where appropriate

- Retrieve and process orders via email, fax and website portals

- Checks status of orders for customers with Production

- Changes orders upon customer request

- Assists customers with what types of products would best suit their needs

- Updates customer information in database (Sage 100, ACT and website); keeps records of transactions

- Coordinates with production for special customer requests

- Packages and sends out customer requested literature

- Attends and participates in company and departmental meetings

- Other duties as assigned by management

**Requirements**

Knowledge, Skills & Abilities:

- Must be an excellent communicator, a productive self-starter and a team player

- Must possess friendly and professional interpersonal skills and strong verbal communication and listening skills

- Must possess good typing, spelling and written communication skills

- Must possess ability to deal patiently with problems and complaints and to remain courteous when faced with difficult or angry customers

- Must be able to operate under pressure and meet deadlines, continually improve internal processes and software processes

- Must possess organizational, accuracy and good time management skills, as well as ability to handle multiple tasks

- Must maintain utmost confidentiality with customer information

- Familiarity with MS Office, database software and Excel

- English Language Skills - Ability to read, analyze and interpret general business documents and spreadsheets. Ability to write reports and business correspondence. Ability to effectively present information and respond to questions from managers, employees and outside vendors/customers.

- Mathematical Skills - Ability to calculate figures and amounts such as discounts, interest, proportions and percentages.

EXPERIENCE -

- Must have at least 2 - 4 years of hands-on customer service experience, preferably in a manufacturing environment

EDUCATION/TRAINING -

- High School Diploma required

- Courses in customer service preferred

- Must possess skills and/or training with Windows based computer software
