Customer Service Representative

KELLY is looking for a career driven individual with two (2+) years of experience in Customer Service for a well distinguished HVAC client in Lorton, VA.


+ Schedule/coordinate customer service calls & input information into our scheduling software.

+ Efficiently assign calls to minimize wasted trips, time and fuel.

+ Communicate with techs in the field as new calls are scheduled.

+ Update customers on the status of their service and with ordered parts.

+ Process customers check up mailers, surveys, and agreements.

+ Input customer invoices, tender credit card payments, and process work orders.

+ Manages daily service by reviewing route performance and proactively responding to situations that impact customer service.

+ Handle incoming requests from customers related to service calls.

+ Manage and assign service technicians to fulfill customer service requests.

+ Manage service technicians daily schedules.

+ Update the work orders and claims identifying the service to be performed.

+ Close out all calls daily

+ Obtain necessary purchase order/ approvals from customers for work being performed

+ Keep detailed records of pertinent calls received and action taken.

+ Posts entries in the computerized dispatch system and makes corrections as they occur.

+ Various other administrative duties as the business requires.

Candidate should be able to:

+ Work well under pressure

+ Keep Zen-like professionalism even with the most difficult to handle clients and coworkers

+ Sell service with a smile

+ Effectively communicate relevant project information to employees, superiors, and customers.

+ Resolve and/or escalate issues in an appropriate and timely fashion.

+ Participate in team and customer meetings effectively.

+ Interface well with clients and co-workers effectively.

+ Passionately help customers with their HVAC needs and doing so with great enthusiasm.

+ Display excellent interpersonal and strong communication skills (verbal, written and utilizing all media (phone, e-mail, text) for interaction with customers and fellow employees including the ability to maintain a positive and professional working relationship with peers, management, and support resources, with a constant commitment to teamwork and exemplary customer service.
