Job Description:


This position is responsible for processing all incoming customer orders, coordinating the scheduling with appropriate co-workers, and the scheduling of outbound trucks to meet the shipping needs of the customer. Must have excellent communication skills in order to provide complete information to both internal groups and customers as required. This person must be effective and efficient with processing all customer requests with minimal supervision and within guidelines.


Duties & task can include:


Receive and enter Sales Orders into SAP from a variety of customers including international customers

Respond to sales orders immediately and communicate with Sale personnel in both the U.S. and international groups

Generate Customer Order Acknowledgments and follow-up support with customers

Prepares documentation, maintains records in SAP, and help coordinate logistics for product shipments making sue all required paperwork is appropriately filed and organized.

Provide timely feedback to appropriate personnel/ managers in regard to issues involving customer satisfaction.

Communicates status of Shipping/Receiving activities to appropriate personnel

Review open customer orders, create pick worksheets on an as needed basis to efficiently meet the customer shipping schedule and satisfy the requested ship dates

Generate Weekly Customer Order Quantity Reports/On-Time Customer Shipment Quantity Reports

Confirm Pricing from Purchase Orders

Creating Bill of Lading for Domestic shipments

Monitor the timeliness of all outbound delivery arrivals & departures including monitor all potential shipment shortages to avoid missing confirmed ship dates and broadcast any known issues to appropriate personnel.

Coordinate /Conduct a monthly inventory of on hand Finished Goods with Warehouse Supervisor

May be required to stay late or come in on a weekend if there is a critical order

Other duties as assigned by management


Competencies (Knowledge, Skills & Abilities):

Customer Service or Inside Sales experience with a commercial or industrial equipment manufacturer

Understanding of manufacturing and production processes

Possess a comprehensive understanding of shipping requirements, rules and obligations by carrier, destination and package type

This person must be able to work in a dynamic environment, be comfortable performing multiple tasks and be able to work closely with Manufacturing, Operations and Planning departments

Learn and be able to perform all of the job duties of the Production Planner/ Master Scheduler independently (back-up)

Must have the ability to interface well with all departments of the company and work as part of the Production Planning Team to assist in the overseeing the execution of the daily production plan to achieve Company goals


Requirements:

Associates Degree preferred

Experience with order entry and proven ability to maneuver throughout an ERP or MRP system, preferably SAP

International Customer Service Experience preferred

Ability to effectively meet and communicate with customers, employees, the public and vendors while being courtesy, discretion and sound judgment.

Solid PC skills using Microsoft Office software must have strong Microsoft EXCEL skills, as well as a working knowledge of general office equipment (photocopier, fax machine, phones.)

Good written and verbal communication skills and effective organizational skills.

Superior problem-solving skills

Ability to multi-task in a fast-paced environment, and meet deadlines with frequent interruptions

Ability to function as a team player within a diverse group, and the capacity to work independently under minimal supervision

HVAC knowledge a plus


Work Environment:

This job is performed in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
