Description **Job Description**

Working under general direction, the Department Assistant will support the Finance and Operations Department with day to day activities.

Location: Case Western Reserve

Hours: 20 hours

Pay Rate: 14.69

ESSENTIAL FUNCTIONS

1. Prepare and process purchase requisitions using PeopleSoft Financials for the School of Dental Medicine including but not limited to office supplies, minor and major equipment purchases and all other purchasing as assigned by the Assistant Dean and Business Manager. 15%

2. Organize and maintain departmental files. 5%

3. Assist with reconciliation of monthly expense statements for endowment and project accounts. 5%

4. Update and maintain the school-s internal telephone/email listing. 5%

5. Oversee the operation of copier equipment and faxes. Submit work orders and order supplies. 10%

6. Submit Facilities Services requests through MySchoolBuilding online system. 5%

7. Arrange shredding pickup with Cintas on a quarterly basis. 5%

8. Provide telephone coverage and message dissemination for department staff. 5%

9. Process non-salary journal entries for the auditing office, faculty practice and Dental School deposits, while maintaining the backup of all journals done, and supplying the appropriate offices with back up as well. 15%

10. Submit work orders for voicemail and name changes for faculty/staff through Telephone Services. 5%

11. Process Travel and Entertainment expense reports in PeopleSoft Financials. 15%

12. Sort and distribute management center, campus, and US mail. 5%

REQUIRED SKILLS

1. Strong oral and written communication skills are essential.

2. Must be able to prioritize and have the ability to handle multi-tasking.

3. Must be able to work in a fast paced, busy office environment with a diverse group of people.

4. Requires the ability to work independently often under deadline pressure.

5. Experience with MS Office, PowerPoint, Excel and Outlook in a networked environment.

6. Previous accounting experience is preferred. Familiarity with PeopleSoft Financials or other accounting software is preferred.

**Requirements**

Experience: Three to five years of experience in an educational administrative field.

Education/Licensing: High school diploma required; Bachelor-s degree preferred.
