**Job Description**


Kelly Services is looking for an experience department coordinate for a position at Case Western Reserve University.


Hours: Full time, 8:30AM to 5PM


Pay Rate: 14.69


POSITION OBJECTIVE


1. The Department Coordinator will assist with the planning and execution of critical alumni relations, donor relations and development programs that increase engagement, affiliation, goodwill, and support for the School of Dental Medicine.


ESSENTIAL FUNCTIONS


1. Assist with the planning and execution of alumni engagement and outreach events, including Homecoming and Reunion Weekend, among others. Coordinate logistics, including event venue selection, event cost comparisons , vendor activity, implementation of promotion plan utilizing a variety of communication channels, event registration process, including online/telephone registration, name tags, VIP itineraries, and other related tasks (25%)


2. With approval from the Director of Alumni Relations, request and prepare contracts for event planning on and off campus. (10%)


3. Assist with School of Dental Medicine volunteer identification, recruitment, engagement, leadership development, and stewardship. (10%)


4. Design, produce and mail school and event correspondence (internal and external), newsletters, and promotional materials - electronic and hard copy. Update and edit address information as needed. (10%)


5. Provide support at events executed by the Office of Development and Alumni Relations, including reunions, donor stewardship and alumni engagement efforts. (10%)


6. Coordinate and implement donor relations and stewardship program, including annual donor recognition event, scholarship student/donor engagement, and other donor connection opportunities. (15%)


7. Provide administrative support for designated staff members, including scheduling meetings, generating/responding to correspondence, maintaining contact reports, utilizing alumni database, create/edit reports and records, and maintaining electronic and paper files. (10%)


8. Act as liaison to Advancement Services to request appropriate reports and assist with data management and input for biographical data. (5%)


9. Exercise extraordinary care in maintaining confidentiality and trust in handling student, alumni, and donor matters.


10. Maintain university and department event calendar(s). (5%)


**Requirements**


QUALIFICATIONS


Experience: High school education with 5 or more years of related experience or Bachelor-s degree with at least one year of related experience required. Experience working with higher education, events, alumni/donor relations, or volunteer programs preferred.


Education/Licensing: High school education required; Bachelor-s degree preferred

1. Excellent communication and interpersonal skills with outstanding written and verbal skills with the ability to craft emails, letters, meeting minutes, and similar efforts with little direction. Speaking with alumni, donors, volunteers, colleagues and external entities in a professional and confident manner.

2. Requires a high degree of judgment, balanced assertiveness and graciousness, responsibility, organization, and management.

3. Enthusiasm to actively learn - understanding the implications of new information for both current and future problem-solving and decision-making.

4. Relationship building: staff members at all levels within our organization are responsible for helping to build and enhance relationships with our constituents - alumni, donors, volunteers, and community members.

5. Must be professional in both attitude and appearance.

6. Able to work effectively with a diverse alumni population.

7. Excellent telephone and professional manner.

8. Highly motivated and able to work independently as well as experience in organizing and leading projects.

9. Able to make decisions and come up with new ideas or establish new procedures.

10. Accurate with a high level of attention to detail as well as strong organizational skills.

11. Able to deal effectively with sensitive and confidential material.

12. Proficient with computer applications including Microsoft Office (Excel), databases, event management tools, Internet and able to learn new programs.
