+ Under the direction of the Senior Vice President & COO, the **Administrative** **Assistant to the Senior Vice President & COO** is an integral part of the Office of the Senior Vice President & COO. The position provides executive-level administrative assistant support in a one-on-one working relationship. The Administrative Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Senior Vice President & COO. The Administrative Assistant to the Senior Vice President & COO also serves as one of the liaisons to the DH and its affiliates Board of Commissioners/Directors and senior management teams; organizes and coordinates executive outreach and external relations efforts, and oversees special projects. The Administrative Assistant to the Senior Vice President & COO is responsible for the DH and its affiliates Board of Commissioners/Directors development, affiliate organizations, paralegal, and administrative functions of the Office of the Senior Vice President & COO.

**Whats a typical day as** **an Executive** **Administrative** **Assistant** **? Youll be:**

1. Plays a critical role in streamlining the day-to-day functions of DH and its affiliates through a broad range of administrative support functions contributing to the overall efficiency and effectiveness of the Office of the Senior Vice President & COO.

2. Responsible for performing and coordinating the Senior Vice President & COO's administrative secretarial and clerical activities; storing, retrieving, and integrating information for dissemination to the Board of Commissioners/Directors, the President & CEO, other senior staff, the entire DH staff, and to external customers of the DH.

3. Communicate with the contract attorney(s) for the necessary paperwork and status updates for DH and its affiliates.

4. Responsible for affiliate organizations files, articles of incorporation, filing taxes, and other business development and legal needs.

5. Works closely and effectively with the Senior Vice President & COO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a barometer, having a sense of the issues in the environment and keeping the Senior Vice President & COO updated.

6. Partners with the Administrative Assistant to the President & CEO to coordinate Purpose 2025: FY2022-2024 strategic planning initiative meetings and events.

7. Completes a wide variety of administrative tasks for the Senior Vice President & COO, including managing an extremely active calendar of appointments, completing expense reports, composing and preparing correspondence that is sometimes confidential, arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

8. Plans, coordinates, and ensures the Senior Vice President & COO's schedule is followed and respected. Provides "gatekeeper" and "gateway" roles, creating win-win situations for direct access to the Senior Vice President & COO's time and office.

9. Provides administrative support related to the operational functions of the day-to-day operations of the Office of the Senior Vice President & COO.

10. Organizes workflow by reviewing correspondence and determining importance before distributing it to the Senior Vice President & COO or redirecting it to appropriate management when immediate feedback or response is required.

11. Assists the Senior Vice President & COO with the preparation of agency-wide annual and five-year plans and annual report in accordance with HUD and other mandated requirements, including coordination of public review requirements.

12. Assists the Senior Vice President & COO and President & CEO with special assignments, legislative analysis, policy development, and other special projects.

13. Coordinates the Senior Vice President & COO calendar schedule, presentations, and speaking engagements with industry organizations such as NAHRO, CLPHA, NARPM, PHADA, etc.

14. May attend senior leadership and mid-management team meetings to discuss issues and objectives, determine strategies and approaches, and brief on current activities and challenges on behalf of Senior Vice President & COO.

15. Review and research proposed public policies affecting the DH and its affiliates, including the local, state, regional, and federal legislation.

16. Serve as the primary point of contact for Senior Vice President & COO and liaison with other departments of the DH, including senior staff, mid-management, and visitors, as required.

17. Acts as the Senior Vice President & COOs customer contact, answering routine questions about operational services, events, procedures, and policies or referring inquiries to appropriate staff.

18. Analyze, research, compile data, develop information, and consider available solutions or alternate methods concerning strategic goals.

19. Provides oversight for DH and its affiliates Board of Commissioners/Directors meetings, minutes, and legal documents.

20. Provide executive-level administrative assistant support to the Senior Vice President & COO or President & CEO, including preparatory work for DH and its affiliates Board of Commissioners/Directors meetings, committee reports, transcribing and preparing minutes, and drafting resolutions and other reports.

21. Posts notice for Alabama Open Meeting Compliance, sends notices to DH and its affiliates Board of Commissioners/Directors members of meeting times; sends reminders the day before.

22. Notarizes various documents when called upon as a Notary.

23. Undertakes and performs other work-related duties and special projects assigned by the Senior Vice President & COO or President & CEO, including research, evaluation, analysis reporting, recommendation, problem resolution, and internal and external communications to support strategic goals as required.

1. Thorough, substantive, experience-based understanding of public sector administration and management principles and priorities.

2. Knowledge of programs and activities relating to urban and community development, public housing, rental assistance, affordable housing, and the policies and procedures of DH and affiliates.

3. Ability to manage, coordinate, implement and monitor programs and projects.

4. Must be able to perform an extensive analysis of compiled facts and data; this would include performing statistical analysis.

5. Knowledge and ability to use standard computer applications (i.e., Microsoft Office Suite) and advanced computer software for graphic design (i.e., Adobe Suite).

6. Ability to communicate effectively in all forms with the public, with residents of DH and its affiliates housing, with the Board of Commissioners/Directors, and with departments and agencies of the local government.

7. Thorough knowledge of publishing information's principles, practices, laws, and regulations.

8. Ability to engage in extensive problem-solving and work under tight deadlines.

9. Ability to organize and maintain accurate records for audit purposes; also requires some information management knowledge.

10. Good knowledge of the principles, practices, research methods, and statistical analysis.

11. Thorough knowledge, understanding, and ability to interpret federal and state regulations, policies, and procedures related to affordable housing, U.S. Department of Housing and Development (HUD), and applicable federal, state, and local laws, and regulations, policies, and research regarding Moving to Work (MTW) projects, practices, and programs.

12. Knowledge of principles, methods, research, evaluation, and statistical analysis applications.

13. Applies effective written and verbal communication techniques to convey clear and timely messages to internal and external stakeholders; communicates clearly and effectively via multiple methods.

2. Presents proposals and recommendations logically and persuasively.

3. Interprets and explains complex data analyses and research findings for technical and non-technical audiences.

14. Ability to exercise independent judgment, using analysis, experience, and perspective in solving problems or communicating decisions or actions.

**Certificate, License** :

+ Valid Drivers License.

**Required Education/ Experience:**

+ Bachelors Degree in Business Administration, Management, Public Administration, Public Policy, Paralegal Studies, or acceptable field and a minimum of one (1) year of experience as an executive assistant or as a paralegal experience.

+ Associates Degree in Business Administration, Management, Public Administration, Public Policy Paralegal Studies or acceptable field and a minimum of three (3) years of experience as an executive assistant or paralegal experience.

+ Must be certified or obtain Essentials for Board Commissioners certification or equivalent within one year of employment.
