Executive Assistant and Case Manager needed in Sarasota, FL (Estate and Trust Administration) - DIRECT HIRE!

Salary: $36 - $40/K (Depending on Experience)

Full-time, in-office position

Hours: 8 a.m. - 5 p.m. Monday - Friday

**Position Summary**

The Executive Assistant/Case Manager provides a high-level of administrative support for the Estate and Trust Administration group including heavy case and file management, calendar management and successful coordination of business calls and meetings. Acts as liaison between the attorney and other departments within organization. Exercises sound judgment in the resolution of administrative problems. Prioritizes and manages multiple projects simultaneously with minimal supervision.

**Essential Duties and Responsibilities**

The essential functions include, but are not limited to the following:

**Executive Assistant Role** **:**

+ Schedules and coordinates conference calls and meetings for the attorney. Takes notes, if requested, and follows through with making sure task(s) have been completed.

+ Schedules all in office appointments for the attorney.

+ Handles incoming and outgoing phone and electronic communications on behalf of the attorney.

+ Maintains attorneys email when he/she is out of office, if requested.

+ Facilitates billing and mailing of invoices.

+ Requests checks for the payment of fees, settlements, distributions etc.

+ Independently creates well-organized, grammatically correct correspondence, memos, reports and other documents as requested.

+ Maintains highest level of confidentiality.

+ Flexibility and ability to adapt and act quickly when required.

+ Performs general administrative tasks such as making copies, scanning documents, opening and directing mail.

+ Other duties as assigned.

**Estate and Trust Administration Case Manager Role** **:**

+ Maintains client files and follows office procedures on processing files through to completion.

+ Acts as a point of contact between the attorney and clients on all files.

+ Ensures documents needed from client are received, copied and scanned into file.

+ Completes the Case Manager checklist on all files ensuring all tasks have been completed before each client appointment.

+ Independently creates well-organized, grammatically correct memos and reports for client files.

**Minimum Qualifications**

+ Three years or more of experience as an executive assistant; experience in a law firm setting a plus

+ Proficient with Microsoft Excel, Word, PowerPoint, and Outlook

+ Demonstrate superior interpersonal skills and proficiency in business vocabulary to effectively represent the attorney and the company to outside parties

+ Excellent oral, and written communication skills

+ Ability to multi-task, prioritize and manage time effectively.

+ Excellent organizational skills with an eye for details.

+ Ability to maintain confidentiality.

+ Maintain a professional and positive demeanor
