Manages the calendars and schedules appointments coordinating details to track and manage executives time and keep them informed.

Screens incoming calls and correspondence and responds independently when possible.

Organizes programs, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, negotiating vendor contracts and controlling event budget.

Maintains confidentiality of all corporate, personnel and research matters.

Prepares agendas, notices, minutes and resolutions for corporate meetings and coordinates follow up with meeting participants on tasks/issues as appropriate.

Performs confidential secretarial functions including preparing confidential correspondence, reports and other complex documents.

Responds to routine external correspondence. Types memos, purchase requisitions, payment requests and other department forms and documents.

Creates and maintains database and spreadsheet files.

Arranges detailed travel plans and itineraries.

Conducts budget and general ledger reconciliation duties.

Prepares reports and financial data. Reconciles corporate credit card account(s); Prepares expense reports.

Maintains confidentiality of all corporate, personnel and research matters.

May conduct training of other support staff; May supervise or mentor other administrative staff.

Provides department support such as:

*Sends faxes as requested.

*Makes photocopies as requested

*Orders office supplies and maintains supply cabinet.

*Maintains various database and spreadsheet files as requested

*Performs other duties as assigned.

**Requirements**

Required:

-5-7 years of Executive Assistant experience to Senior Executive leadership (mid-to large company)

-- Able to support up to 3 execs at a time

-4 years in a senior secretarial and administrative function

-Proficient with managing schedules, booking travel, expense submissions, etc.

-Proficient with Microsoft Office Suite- PowerPoint, Excel, Word, and SharePoint user experience

-Strong documentation and meeting note taking ability

-Highly Proficient written and verbal communication skills required

-Advanced computer skills with the ability to train others in system usage

-Demonstrated skills developing effective relationships, communication skills, managing expectations in a fast paced organization

-Demonstrated interpersonal, organizational and communication skills are required

-Sense of urgency and able to act with little direction

-Is the 'go-to' for the executives.
