We are looking for a seasoned Front Desk Receptionist for one of our top clients, a high end private equity client. This is a "floater" full-time position on a temp to perm basis. This person will be a back up to the 6 front desk personnel (receptionists) as well someone who can help out with various projects. A successful candidate will be proactive, a great multitasker, have strong with computer skills.

REQUIREMENTS:

- Bachelor-s degree preferred

- Experience with EMS room booking tool

- Knowledge of multiple line phone systems/switchboards

- Exhibits a professional, approachable, client service-oriented demeanor

- Passion for the hospitality industry, teamwork, and focus on high level client service

- Able to manage highly sensitive, confidential information with complete discretion

- Critical thinker; excellent judgment

- Exceptional verbal and written communication skills; presents ideas clearly and concisely

- Team player with high integrity, apolitical, non-arrogant, commitment to excellence, treating others with respect

- Ability to multitask effectively

- Excellent diplomatic skills; skilled at developing and maintaining personal, social, and business

- Highly developed planning and organizational skills; able to anticipate change, adjust responses accordingly, and initiate steps to maximize resources toward a common objective

RESPONSIBILITIES

- Primary phone line coverage. Receive incoming phone calls and transfer appropriately. Screen and announce calls via instant messaging system to Executive when the Assistant is unavailable. Deliver messages via IM or email pursuant to Executive-s preference. Pull Executives out of meetings for important phone calls at their request.

- Attend to visitors and greet guests, ensuring their comfort, and alerting the appropriate Assistant of their arrival. If the Assistant is unavailable, escort visitors personally to the meeting room.

- Provide administrative assistance for New York and visiting Executives, such as meeting room reservations and guest registration upon request. Liaise with IT, File Room, Catering, Security, etc. on the Executive-s behalf as needed.

- Collaborate with Assistants from other company offices to reserve workspaces and meeting rooms for visiting Executives. Escort guests of visiting Executives to the meeting room and notify the Executive via email.

- Complete administrative tasks and special projects as assigned (i.e. scanning, filing, proofreading, stuffing/emptying name tags).

- Maintain Reception area, keeping print materials tidy and up-to-date. Ensure coat closet doors are closed and closet is uncluttered. Inform appropriate groups (Facilities, IT, etc.) if service or maintenance needs are required.

- Partner with Reception team to ensure appropriate coverage at all times.
