Kelly Services is currently seeking an **Executive** **Administrative Assistant** for one of our top Business & Financial Services clients in New York, NY.



**Anticipated Start Date:** ASAP



**Duration:** Long-term, indefinite need but will evaluate at 3 months. Possible extension or TEMP-HIRE based on business need and performance



**Hours:** 1st shift Monday-Friday



**Pay Rate Range:** $43.90 per hour



**Job Duties:**




+ Hiring leader desires someone that wants to be a strong contributor and challenged in taking their career to the next level if/when the opportunity arises.

+ Will support the CTO of Ratings, act as a seamless extension of the Ratings Technology team, and work closely with other Executive Assistants and Chiefs of Staff throughout the organization. Additionally, this role is responsible for running employee engagement programs and other projects sponsored by the Chief Technology Officer that drive the culture and recognition within the organization. This person must not only be capable of recognizing organizational needs, but be able to plan, achieve buy-in and execute those projects. This is a dynamic, highly personal aspect of the role that requires a strong EQ and ability to use teamwork to drive results. The individual in this role must understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements to build capacity for the leadership team. A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company is critical. The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the whole picture. The ideal candidate must be able to work successfully in a team environment and build effective working relationships inside and outside the group.

+ Primary support: Chief Technology Officer. Also support: Head of Product Engineering, Head of Technology Strategy, Head of Architecture

+ Management of complex calendars and scheduling to support teams in multiple locations

+ Manage extensive domestic and international travel including creating itineraries

+ Lead and execute Ratings Technology employee engagement initiatives: Recognition Program, TECH Talks, Communities of Practice Talks, Hackathons, Distinguished Engineers, Women in Technology (WiT), TEC Team, among others

+ Organize, execute and assist with team activities (staff meeting agendas, all-hands meetings, off-sites, and team social events)

+ Schedule quarterly CPP meetings with the Ratings Executive Committee and all related meetings preceding each CPP (Pre-CPP meetings, PRB, etc.)

+ Schedule and host monthly Global Staff Meetings and Extended Leadership Meetings

+ Employee onboarding, offboarding, and maintaining out of office records

+ Management of team space, including moves and reconfigurations. Manage move from 34th and 35th floor to 39th floor in November 2019

+ Reconcile expense report and submission



**Job Requirements:**




+ High School diploma or equivalent. Degree preferred, but not required

+ Experience providing executive support assistance at Senior management level

+ 2 years project management, event management, and program management skills preferred (i.e., HR projects, running large meetings, event planning, etc)

+ The ideal candidate will be a detail oriented, experienced planner with the demonstrated ability to respond effectively and efficiently while maintaining flexibility and composure

+ Strong organizational, communication and interpersonal skills

+ Ability to prioritize and handle multiple assignments at any given time

+ High levels of integrity and discretion

+ Impeccable attention to detail

+ Highly motivated, organized individual who is able to work effectively with minimal supervision

+ Experience designing processes to maximize efficiency

+ Excellent Microsoft Outlook, Excel and Word management skills

+ Must be able to manage multiple events in a fast-paced environment

+ Evidence of a continuous-improvement mindset for optimizing processes

+ Excellent teamwork skills, particularly the abilities to continually anticipate emerging issues, and to plan for success

+ Excellent oral and written communication skills

+ Strong and effective problem-solving, analytical, and research skills

+ Excellent and effective organizational and time management skills

+ Ability to work autonomously in a relatively unstructured environment, to prioritize and multi-task on competing projects and to execute and complete deliverables in a timely manner
