Under the general direction of the Court Administrator, performs a variety of complex, high-level clerical duties to assist the Court Administrator. Supervises other clerical support staff assigned to the Court Administrator-s Office, as directed. Performs duties and responsibilities in accordance with Court policies, statutes, and strategic plans of the Court as assigned by the Court Administrator.


1. Responsible for providing confidential support to the Court Administrator by taking initiative, exercising independent judgment and performing a variety of complex, high-level administrative, clerical and secretarial duties in a prompt, accurate and efficient manner.

2. Manages the Administrator-s calendar. Schedules meetings and appointments. Notifies parties of scheduled meetings and appointments. Maintains, schedules, prepares and tracks documents for reporting requirements and established weekly, monthly and annual correspondence and communication to ensure timely distribution.

3. Prepares agendas for all meetings and ensures required materials are obtained prior to meetings. Distributes appropriate materials, as directed. Prepares and distributes minutes, as directed.

4. Reviews all correspondences, invoices and documents for accuracy. Responsible for making and/or attaining corrections, verifications and any modifications needed prior to submitting to the Court Administrator.

5. Maintains office paper, electronic files, correspondence, documents, reports, and all other miscellaneous information of the Court Administrator and the Office.

6. Prepares draft responses to incoming communication. Prepares draft correspondence, orders, reports and other communication for editing and approval by the Court Administrator.

7. Responds to or assigns other clerical staff to reply to inquiries and problems from Court personnel, judges, magistrates, litigants, attorneys and the general public regarding Court operating policies and procedures, as directed. Provides or assigns other clerical staff to provide required or requested information from Court personnel, judges, magistrates, litigants, attorneys and the general public.

8. Performs special projects, including, but not limited to researching, compiling information, preparing specialized reports, and disseminating information, as directed.

9. Performs a variety of other office management duties, including, but not limited to ordering office supplies and equipment, preparing and publishing legal notices, preparing and distributing internal and external rosters, schedules, orders, directives, memos and other miscellaneous correspondence, updating digital data information boards, intranet, and internet.

10. Performs all other duties and responsibilities as assigned by the Court Administrator.

JOB TITLE: Executive Assistant to the Court Administrator

An At-Will, Exempt Position


1. The completion of a Bachelor-s Degree is preferred.

2. At least five (5) years of progressively more responsible experience in a court or legal setting.

3. Management skills necessary to effectively oversee, assist and coordinate the daily operations of assigned functions.

4. Proficient typing, word processing and computer skills necessary to effectively utilize software and spreadsheet applications for the creation and compilation of various documents, communications, reports, and presentations.

5. Interpersonal and communication skills necessary to effectively, competently and professionally communicate, both orally and in writing, with Court personnel, judges, justice system partners, and members of the public.

6. Mental ability to handle pressures related to dealing with distracting influences such as people, phone calls and noise and pressures related to the simultaneous management of multiple projects, meeting deadlines, fulfilling scheduling requirements and projects requiring concentration and attention to detail.

7. Ability to problem solve, set priorities, take initiative, anticipate the needs of the office, plan, organize and direct staff, work and projects efficiently through completion.


1. Normal office environment with little discomfort due to heat, dust, noise and the like.

2. Extended work day beyond 7.5 hours a day. Evenings, weekends and holidays will be required, as scheduled, and with or without notice, based on the needs of the Court.


1. Strength, dexterity, coordination and vision to use a keyboard and video display terminal on a daily basis. Hearing to communicate with the public and court staff. Dexterity and coordination to handle files and single pieces of paper. Occasional lifting of objects weighing more than fifteen (15) pounds such as files, stacks of paper, reference and other materials. Moving from place to place within an office. Some reaching for items above and below desk level.

2. Physical ability to frequently sit, stand and/or walk for extended periods of time, perform repetitive movements and work in confined areas.
