Kelly Services is looking for an Executive Office & Administrative Specialist for a company located in Willmar, MN.


This is a DIRECT HIRE position. You will be hired on with the company right away from the beginning and eligible for their full benefits!


**Pay Rate:**


- $18.67 an hour


**Hours:**


- Monday to Friday (8:00am 4:30pm)


**Job Duties:**


**Financial Management Support: 45%**


- Preparing budgets and financial reports for non-sponsored funds.


- Reconcile, validate, and verify financial transactions on sponsored and non-sponsored accounts.


- Prepare deposits for Extension programming, refunds, and other income received. -


- Serve as a merchant manager for the credit card machine.


- Reconcile -purchasing cards for designated cardholders.


- Prepare forms for contracting for professional services and enter requisitions.


- Initiate paperwork for payments and non-employee expense reimbursements


- Initiate wire transfers and expense transfers and route for processing.


- Reinforce messages regarding University and Extension financial policies and procedures


- Prepare, process and track agreements (e.g., facility use, external sales and Memorandum of Understanding)


- Make and receive purchases


**4-H Program Support 45%**


- Use 4-H database software including (4-HOnline and FairEntry) to ensure accurate and timely reporting of group participation and serve as a 4-H database contact for local staff by assisting with:


+ 4-HOnline enrollment process

+ Animal identification process

+ State event registration

+ Create and format monthly newsletter and add information to county websites and use mass emailing software to share information with 4-H families as requested by staff


- Assist educators in coordination and registration for regional and state events


- Support regional extension educator and local staff in chartering process


- Support statewide programs and work teams as assigned


**General Office support and back up 10%**


- Greet walk-in traffic and field phone calls and online communication, directing clients to the appropriate person/resource in a professional and respectful manner


- Serve as key Regional Office contact for office supply & equipment vendors and maintain equipment inventory; equipment loaner inventory; office equipment maintenance, updates, and bids for any updates


- Schedule/maintain schedule for office meeting rooms and public access to technology.


- Maintain filing system for historical records and disposal; federal civil rights; etc.


- Orient new and existing employees on office hardware


- Maintain and report problems with Regional Office conference room technologies


- Serve as the county connection to support phone book listings, signage, University branding, etc.


- Provide back up support when needed


- Assist with projects, events, office organizing, and other administrative tasks


**Requirements:**


- High School Diploma or GED


- 4 years of experience in an administrative office setting


- Advanced computer skills MS Office and Google Suite applications


- Experience supporting more than one professional at a time and prioritizing work


- Excellent verbal and written communication skills


- Ability to work in and with diverse groups and underrepresented populations and communities


- Skilled at working with details, managing workflow and meeting deadlines


- Excellent troubleshooting and problem-solving skills
