**RESPONSIBILITIES**



**Managing Systems & Procedure:**




+ Provide recommendations for improvements and changes to workflow and structure

+ Contribute to identifying areas for integration across the division

+ Assist with the development of department budgets, fiscal requests, and staffing proposals

+ Monitor, analyze, and report on expenditures, variances, and trends of the bureau's major contracts and grants

+ Support special projects & system review, including through research and investigation, preparing new proposals.

+ Create and maintain filing and organizational systems to manage information flow within the public agency



**Organizing & Documentation:**




+ Draft briefs, memos, and other reports on the Assistant Commissioner's behalf

+ Manage New Needs, Big Ideas, and other budget-related requests that span bureaus.

+ Coordinate divisional activities, including staff meetings, divisional meetings, and ad hoc as needed

+ Serve as a divisional main liaison on divisional projects, and field site coordination.





**Supporting Communications and Reporting:**




+ Maintain strong communication and information sharing with bureau leaders about administrative activities

+ Work closely with internal program staff to assist with long term strategy, operations and planning related to resource allocation

+ Work with bureau staff to prepare periodic reports and respond to requests for information

+ In coordination with the Manager, prepare for monthly AC meetings that the Assistant Commissioner leads or hosts

+ Proactively identifies opportunities to delegate and resolve requests in a timely manner

+ Disseminate information and serve as liaison between the Assistant Commissioner and the Bureau programs and others to assist with troubleshooting.

+ Provide guidance on programmatic matters; coordinate with staff to ensure timely completion of follow-up items; and compile information for regular as well as ad hoc reports

+ Identify opportunities for collaboration across projects within the Bureau to ensure work is coordinated, expertise is maximized, and activities are aligned with Bureau goals; monitor and track tasks, deliverables and deadlines for the Assistant Commissioner; talking points or one-pagers, soliciting input from leadership team





**QUALIFICATIONS**




+ Bachelors degree in business, finance, public administration, or a related field

+ 2 years Min of experience working simultaneously on multiple initiatives/grants

+ Strong quantitative analysis skills

+ Proven ability to work and deliver on projects proactively and independently

+ Exceptional project management, priority setting and problem-solving skills

+ Detailed oriented

+ Strong oral and written communication skills

+ Effectively collaborates with and across teams, seeks and provides constructive feedback

+ Can skillfully use software like Excel, Word, PowerPoint to produce outputs

+ Demonstrated interest in public health, healthcare, social justice and equity preferred
