+ Supports Physician Recruiters with administrative functions relating to all sourcing, recruiting and onboarding processes.

+ Responsible for ensuring an excellent experience for physicians and advanced providers along the full recruitment and onboarding spectrum.

+ up to date applicant tracking system and physician/advanced provider files.

+ Provides back up support to Physician Recruiters for job postings, data-base searches, pre-screening interviews and candidate management, such as applicant status updates, follow-up with candidates/hiring managers, and candidate folders. Manages all finance related activities including processing invoices, reimbursements for physician recruiters, submitting for relocation, and physician candidate travel expenses.

+ Tracking expenses incurred by the department and providing ongoing reports to leadership.

+ Coordinates the full onboarding process for physicians and providers including, assigning important onboarding dates, trainings, pre-employment meetings, and that all credentialing and pre-boarding processes have been complete in a timely manner.

+ Continuously look for ways to improve the recruitment, onboarding and orientation process.

+ Perform other projects and job duties as assigned or as needed for back-up or peak times.


+ High School Diploma or Equivalent Required 1 year of business school or equivalent preferred.

+ Min. 3 Years Clerical/Administrative Required

+ Accurately type 30 wpm and proficient in Microsoft office.

**Specific Job Standards**

+ Assists Physician Recruiter in follow up with candidates and practice leadership, and all others involved in the recruitment and onboarding process

+ Designs power point presentations and spreadsheets determining priorities and special presentations.

+ Maintains budget records, processes invoices and reconciles invoices with monthly financial reports, reviews with Physician Recruiter and submits budget adjustments.

+ Schedules and maintains Physician Recruiters calendars.

+ Responsible for coordination of interviewing itinerary/scheduling of physician candidates, arranges for travel, hotel, car accommodations, dinner/lunch events, and community tours.

+ Assists recruiter(s) with site visit including accompanying and participating in the physician candidate interview process.

+ Assists Physician Recruiters in coordinating sponsored recruitment events and dinners.

+ Help book event, generates materials, creates communications and e-mails to invitees, etc.

+ Maintains incoming and outgoing mail, screens calls and follows up on miscellaneous issues.

+ Arranges meetings including reserving rooms, arranging for AV equipment, requesting refreshments. Prepares meeting agendas and distributes to attendees at least one day prior to schedule meeting.

+ Takes minutes at assigned meetings according to approved minutes format and submits to meeting facilitator for approval.

+ Distributes meeting minutes to appropriate individuals within assigned deadlines.

+ Requires flexible hours for set up for meeting(s) and events. Assists in development of strategic communication plan and implementation to reach all stakeholders.

+ Establishes and maintains record keeping and filing systems for departmental files. Performs record keeping duties including retrieval, filing and maintaining of departmental records.

+ Submit Action Requests (PARs) and other human resource documents as directed.

+ Orders equipment and supplies as needed.

+ Ensures adequate stock of frequently used items and follows up on delays in receiving items.

+ Develops tools and materials that support physician onboarding and orientation programs.

+ Effectively coordinates recruitment activities of service including interviewing, scheduling, testing, and referring qualified candidates to hiring managers. Provides accurate and timely feedback to customers.

+ Actively participates in recruiting events, candidate data-base searches, promotional campaigns, job fairs/conferences, college recruitment and other programs to source, promote and attract the best-qualified candidates to LH.

+ Coordinates meetings with internal customers to ensure that needs are met and to share information about process improvements.

+ Collects recruitment data or information upon request for Physician Recruiter to share with leadership.

+ Supports a strong service culture and spirit of teamwork; with a service orientation that responds efficiently and effectively to customer needs. Responds to customer complaints and responds appropriately to issues/concerns.

+ Maintains a professional persona and communication with leadership, practice leadership, physicians/advanced providers, credentialing, human resources and all other departments

+ Performs other duties as assigned
