The Human Resources Assistant / Receptionist is the face (and voice) of our customer to visitors, callers, and future employees.

To ensure the smooth running and maintaining our reception to a high professional standard and to provide excellent customer service to our internal and external customers.

**Requirements**

Duties and Responsibilities:

Maintain calendar, including but not limited to; heavy scheduling, sending invitations, and arranging meeting space / video conference.

Responsible for answering telephones and transferring as appropriate; taking messages; and/or assisting directly when necessary.

Perform general clerical duties including, but not limited to, photocopying, faxing, scanning, mailing, filing, uploading documentation to proper sources including shared networks and/or programs. Utilize FedEx; UPS; and US Postal Service as appropriate.

Greet clients, prospects and visitors. Direct and accompany to appropriate conference rooms. Coordinate meetings and conferences, including ordering food, and setting up and taking down the room.

Assist as necessary with document preparation, including editing, formatting and distribution of documents.

Assist with project based work, including research as appropriate and directed.

Other duties and responsibilities may be assigned.

Requirements:

Proficiency in Word, Excel, and PowerPoint.

Social Media knowledge. (Facebook, LinkedIn, Twitter, etc.)

Ability to work well individually and with the team.

Excellent verbal and written communication skills.

Possess the ability to demonstrate a high level of professionalism and confidentiality.

Ability to multitask and manage time wisely.

Ability to work well under pressure while demonstrating composure in a fast paced environment.

Must be detail-oriented and highly organized.

Excellent intuition and judgement.

Enjoys working closely with other colleagues.

2 years prior work experience in a business office environment.

Demonstrated discretion and strong judgment, with the ability to interact comfortably and professionally with all levels of candidates and internal clients.

Strong demonstrated interpersonal and communication skills, a customer-service orientation, and a welcoming, helpful attitude.

Ability to build strong, productive relationships.
