Location: Hybrid - Newark


Pay: $35 - $37/Hour


**POSITION SUMMARY:**


The HR Onboarding Coordinator will provide support to the HR Onboarding Specialists to ensure a smooth onboarding process and to create the WOW factor experience for our new associates. This position will work with the global HR staff, including HR business partners, Talent Management team, and Talent Acquisition team, as well as with cross-functional partners like IT, Payroll, and Facilities teams.


**ESSENTIAL JOB RESPONSIBILITIES:**


+ Assist with pre-hire preparation, notifications to new hires and to cross-functional partners (IT, Payroll, HR, Reception, Security, Facilities, etc.) informing of new associate start date and details for the Newark site.

+ Assist with post-I9 verification follow-up with associates and/or business partners, and enter information into Workday and E-verify

+ Responsible for scheduling and setting up New Hire Orientation (NHO) virtually and in person as required.

+ **Attend the Monday and Wednesday new hire I9 sessions and New Hire Orientation at the Newark site. Hours on Monday and Wednesday are 11am - 8pm.**

+ Send follow-up email to new associates with link to NHO slide deck on the intranet following the session

+ Distribute Swag bag to new associate.

+ Act as first line of support for all inquiries from associates and managers regarding New Hire Orientation and onboarding programs, policies, and procedures

+ Support Onboarding Specialists in new associate onboarding including conducting New Hire Orientation, processing new hire paperwork, background checks, andForm I-9s

+ Support temporary worker process for client groups, onboard new temporary workers, and convert and/or extend workers as applicable

+ May handle some data entry in Workday system (i.e., focus on new hire records, post-I9, etc.)

+ Assist in maintaining accurate associate data in Workday including, but not limited to, new hire information, termination details of associates, updating organizational structure changes, job titles, salary increases, and other personnel-related data

+ Administer certain human resources policies and programs as needed

+ Assist with collecting data and reporting for internal audits as needed

+ Compile and format reports and data from Workday as needed

+ Ensure all processes are executed in accordance with government regulations


**MINIMUM REQUIREMENTS:**


**Education and Experience (in years):**


o High school diploma (or equivalent experience) with 2-4 years of related work experience


o Strong interpersonal skills with ability to communicate complex information in a straightforward, understandable manner


o Discreet in handling confidential/sensitive information


o Strong communication skills, both verbal and written


o Able to be flexible and to operate with good judgement amidst ambiguity in a dynamic and ever-


o Proficient skill in using a variety of computer applications, including Microsoft Outlook, Excel, Word and PowerPoint
