**Shifts & Pay Rates:**

1st Shift: Mon - Friday 8:00am - 5:00pm $25.00




**Whats a typical day as an Executive Assistant?**


Youll be working with leadership in an office setting.


**List of responsibilities:**

Maintain various leadership calendars and proactively assess meetings and upcoming events to optimize and align cross functional schedules


Manage and maintain the North America operating model


Facilitate the office of the General Manager by addressing calls and inquiries and prioritizing requests


Proactively manage administrative responsibilities, at times multiple activities simultaneously


Handle calendar management, printing, faxing, filing, and telephone coverage.


Proactively manages calendars for scheduling meetings and conferences.


Supervise and coordinate the activities for the Business Operations Administrator.


Coordinate group events and off-site logistical planning including internal and external functions.


Coordinate domestic travel logistics for members of the leadership team.


Provide document preparation, ensuring that presentations are properly prepared and presented according to company standards.


Prepare, modifies, and proofreads general and confidential correspondence.


Monitor, track and complete expense reports and invoices.


Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.


Provide coverage for other administrative staff in the company as needed.


Assist with projects and other assigned duties as needed.


**This job might be an outstanding fit if you:**


Bachelors Degree (preferred) or equivalent experience preferred.


5 to 7 years experience supporting a leadership team.


Possess a strategic mindset


Strong character and work ethic but a pleasant demeanor


Embody an enabling attitude to bridge cross functional solutions in a collaborative way


Exceptional organizational skills, attention to detail and a high level of accuracy


Ability to multitask and manage responsibly in complex times.


Exceptional interpersonal skills and ability to interact and obtain information from other BIC subsidiaries.


Ability to effectively prioritize and handle a diversified workload in a confidential and sensitive manner.


Ability to handle matters with discretion, confidentiality, and acts as gatekeeper when required.


Excellent computer skills, including Windows, Word, Excel (set-up and develop spreadsheets), Outlook and PowerPoint.


Willingness to perform both challenging and routine tasks.


Experience using business email services, such as Microsoft Outlook.


Previous experience with, or an ability to learn to use common office equipment, such as modern phone systems, fax machines, and copy machines.


Comfort multitasking and handling multiple requests from different individuals and departments.


Ability to work quickly and in a potentially high stress environment.


Strong communication skills and extremely self-motivated when managing communication channels.


Highly organized and capable of creating organizational systems that others easily utilize.
