**Job Description**


Learning Coordinator


The Learning Coordinator plans, communicates and executes programs and events to support the BSRO Learning and Development team. Partners with external vendors for optimal cost savings and engages internal partners in Finance and Accounts Payable to ensure accurate, timely, and consistent invoice processing. The individual serving in this capacity will possess excellent cross-group collaboration and communication skills and must have the ability to work effectively within all levels of the organization.


Responsibilities and Job Duties


- Responsible for monthly transaction reconciliation of annual multi-million-dollar travel budget (accounting for flights, hotels and Enterprise car rentals) in travel booking system and credit card company

- Strategically partners with national hotel reps to negotiate with vendor partners, optimizing cost savings, securing contracts with rates and ensuring accuracy of billing

- Resolves travel issues to ensure that participants reap the full benefits and have an exceptional learner experience

- Receives and fulfills travel requests from Region Education Partners for store teammates attending training across 18 regions. Travel requests can include hotels, flights, and rental cars.

- Tracks travel violations and discrepancies monthly for chargebacks at the store level (i.e. no shows or rental car unauthorized fees) and performs journal entries for rental car charges and miscellaneous hotel items

- Manages monthly invoice process for L&D department including communicating accruals to finance, working closely with accounts payable to follow up on payment status

- Maintain data integrity for reporting structure of overall travel spend dollars, field training calendar, and travel reservation summary for all L&D programs

- Coordinates logistics for special projects to secure event planning resources, locations, and catering

- Develops and implements continuous process improvements for travel booking, special projects, and invoice management

- Manage course materials, rosters and facilitators as well as act as the producer for Virtual Instructor Led courses using the Adobe suite

- Provide reporting and analysis on monthly and annual basis regarding travel spend, performance of programs, content and execution for the department

- Other duties as assigned


**Requirements**


Learning Coordinator


Basic Qualifications

- Bachelor's degree (preferred, not required)

- 5-7 years professional level travel and event planning and/or business coordinator experience


Other Requirements

- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and Adobe Acrobat

- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

- Very strong interpersonal skills and the ability to build relationships with remote team members

- Expert level written and verbal communication skills

- Demonstrated proactive approaches to problem-solving with strong decision-making capability

- Emotional maturity

- Highly resourceful team-player, with the ability to also be extremely effective independently

- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response

- Experience in developing training communication to attendees, managing and planning all logistics, tracking participation and impact

- Continual learner and problem solver

Hours of Operation

Monday through Friday

8 am to 5 pm
