Description **Job Description**

Kelly Services, Inc. is in need of an Office Administrator in Waltham, MA! The Office Administrator will be the initial point of contact for all persons entering the site (visitors and employees). This individual will be responsible for providing general office support with a variety of clerical activities and related tasks. They will also be responsible for greeting visitors and answering incoming phone calls, mail distribution, flow of correspondence, requisition of supplies, as well as additional clerical duties.

Position Responsibilities

- Greet visitors to the site in a welcoming and professional manner

- Answer phone in timely manner, take accurate messages email to recipient. Wear headset when away from desk at all times

- Receive, sort, and forward incoming mail as well as express services (FedEx, UPS, etc).

- Direct all deliveries to the appropriate receiving area

- Assist in the ordering, receiving, stocking and distribution of office supplies

- Organize and maintain common areas such as kitchens and conference rooms

- Organize and maintain Conference room and calendar.

- Greet Interview candidates. Keep the interview moving smoothly, move from one interview to the next discreetly. Able to juggle multiple candidates at once.

- Assist with clerical duties when required to support departmental needs (copying, scanning, and filing)

- Assist with Building Management, conference room coordination, produce maintenance tickets, and follow up

- Support the site with appointments, travel, calendar maintenance, expenses etc.

- Assist with site-wide meetings, training sessions, and other activities

- Support the site leadership team on reconciling invoices, meeting coordination, or other projects

Relevant Work Experience: 5+ years' experience in office administration role required

Knowledge, Skills & Abilities:

- Proficient with Microsoft Office Suite (Outlook, Word, PowerPoint etc)

- Ability to multi-task and prioritize duties

- Excellent communication skills, both written and verbal

- Displayed ability to maintain confidentiality and dedication to execute due dates

- Experience supporting executive team members preferred
