**Meetings and Exhibits Coordinator**

This position provides facilities, office management and administrative support for the Managing Partner and Partner of our clients as well as the Director of Marketing & Operations & Operations.

Independent judgment is required to prioritize and organize diversified workload, handle highly confidential and sensitive information.

Handles general administrative responsibilities including ordering supplies, shipping packages, answering phone calls.

Deals with a diverse group of important external clients and as well as employees at all levels of the organization.

This full-time position reports to the Managing Partner and Director of Marketing & Operations.

**Description of Responsibilities** ?

**Executive Administration**

1. Handles highly confidential information in professional manner including HR, finance or operations materials.

2. Participates in general meetings, writes, and distributes meeting notes, coordinates, and tracks next steps/action items from meetings.

3. Organizes complex schedule of activities and weekly calendars for Managing Partner and Partner. Organizes meetings, makes travel arrangements, handles registration for conference attendance and other miscellaneous events.

4. Works with other departments on special projects including accounting, finance and IT.

5. Establishes, develops, and maintains relevant material for Managing Partner and Partner on our clients cloud based network. Folder structure and organization of BOX to be monitored and updated quarterly.

6. Acts as a liaison on behalf of Managing Partner and Partner with outside utility agencies and high-level client representatives as needed.

**Facilities Management & IT (Operations)**

1. Point of contact for facilities management and upkeep including ordering/inventory of office & kitchen supplies, promotional material.

2. Responsible for the daily and weekly upkeep of a well-maintained and professional work environment including the organization and cleanliness of office space and seating plans.

3. Maintains and audits our clients assets (computer equipment etc.) and regularly monitors inventory.

4. Troubleshoots common technical issues based on our clients guidelines and experience before escalating to outside IT. Works closely with outside IT consultant & HR to arrange for onboarding/offboarding technical set-ups and support.

5. Maintains system of controls for operating expenses, updates monthly operational expense tracking and receipts.

6. Maintains employee, client, vendor, and other relevant contact lists monthly to ensure most current information is available. This would include contact name, business address, business email, work and mobile phone numbers.

7. Works closely with Director of Marketing & Operations Project Manager to organize internal employee meetings and events.

8. Works with Managing Partner and Director of Marketing & Operations to facilitate events for our clients primary charity, the Off the Street Club including volunteer days and on-premises tutoring.

**Marketing/New Business (Marketing)**

1. Creates visual presentations from branded PPT template, maintains and updates brand materials and assists with new business proposals and presentations.

2. Researches and creates a list of publications and monitors for thought leadership topics focused on WBE/DBE industry, underground utility industry, civil engineering, Women in Engineering, Women Entrepreneurs to utilize in social media efforts.

3. Prepares a weekly summary of relevant must-reads with links to articles for Managing Partner and Partner to keep abreast of client developments or hot topics in industry.

4. Works with Director of Marketing & Operations to create social media posts to leverage Managing Partner, Partner, and Corporate LinkedIn Pages. This would include regular postings (3 x per week) per page (9 postings per week); a combination of original content and repurposed thought leadership content with the goal of increased followers.

5. Works with Director of Marketing & Operations to research and create an annual calendar of high-profile events and conferences relevant to our clients business. Update annually. This would include civil engineering, telecommunications/wireless conferences, or events specific to WDBE, STEM, Women in Leadership, or Entrepreneurs. Works with Managing Partner and Director of Marketing & Operations to plan and coordinate participation in prioritized list of events based on client participation, new business development opportunity or client attendance.

**Required Education and Experience**

**Preferred Education and Experience**

1. Associates or bachelors degree in Business Administration or Communications.

2. 5+ years of related experience, 10 years preferred.

Salary: $60-$75K
