Position Overview

Obtains revenue and pays invoices by verifying and completing payable and receivable transactions. The Office Manager works on projects ranging from human resources, quality control development, IT correspondence, and customer orders. They communicate and take direction from and give direction to consultants and organize necessary action. They summarize and consolidate information from outsides sources, transferring it to people, processes, and documents. They enhance the executive's effectiveness by providing information management support; representing the executive to others.

Essential Job Functions


- Operate office machines, such as photocopiers and scanners, fax machines, voice mail systems, and personal computers.

- Answer telephones, direct calls, and take messages.

- Maintain and update filing, mailing, and database systems, using a E2 Shoptech software.

- Communicate with customers and vendors to answer questions, disseminate or explain information, and address complaints.

- Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail.

- Compile, copy, sort, and file records of office activities, business transactions, and other activities.

- Compute, record, and proofread data and other information, such as records or reports.

- Type, format, proofread, and edit correspondence and other documents, from notes and using computers.

- Clocking in at the beginning and out at the end of shifts.


- Prepares customer and vendor paperwork by gathering and sorting documents and related information.

- Pays invoices by verifying transaction information; scheduling and preparing disbursements; obtaining authorization of payment.

- Obtains revenue by verifying transaction information; computing charges and refunds; preparing and mailing, e-mailing, or faxing invoices; identifying delinquent accounts and insufficient payments.

- Collects revenue by reminding delinquent accounts; notifying customers of insufficient payments.

- Maintains accounting ledgers by posting account transactions.

- Resolves account discrepancies by investigating documentation; issuing stop payments, payments, or adjustments.


- Provide current and prospective employees with information about policies, job duties, working conditions, wages, and employee benefits.

- Maintain records concerning personnel-related data such as hires, transfers, performance appraisals, and absenteeism rates.

- Investigate and report on work related accidents for insurance carriers.

- Create and maintain employee files that are congruent with government laws and regulations.

- Have an updated knowledge of government lawns and regulations in relation to Human Resources.


- Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text.

- Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

- Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.

- Ensures operation of office equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
