We are looking for an experienced Office Manager for our customer in biotechnology in San Diego, CA. In this role you will provide a wide range of office and administrative support for multiple ongoing projects in a dynamic start-up environment. This role will report to the Senior Vice President, Finance.


Main responsibilities:


+ Manage front office duties, including greeting and assisting visitors, answering phones, sorting, and sending mail and packages and receiving deliveries

+ Maintaining corporate calendar of events and employee directory.

+ Support company-wide event planning needs, including internal meetings, retreats, parties, interviews, Board meetings, and hosting visitors.

+ Manage conference room spaces and equipment, online conferencing, and equipment troubleshooting.

+ Partner with IT support to resolve hardware, software and other technical issues.

+ Participate in recruiting efforts by working with HR to schedule interviews, coordinate interview schedules and host candidates.

+ Arrange workspace and equipment for new hires.

+ Manage contracted vendor services for offices and labs.

+ Troubleshoot issues with office space and utilities and liaise with property management as needed. Manage and support general office and facility needs.


To be successful in this role we expect you to have 3 - 5 years of experience as a front office administrator, office manager or executive assistant. A a degree or certificate in a business or administrative program is preferred.


Be highly proficient in MS Office and a resourceful, quick learner of other software programs and tools Must possess superior written and verbal communication skills


Have keen attention to detail and quality of work product and service


Be proactive and service-oriented with thoughtful follow-through on assigned tasks


Have demonstrated ability to set priorities, meet deadlines, make administrative decisions, exercise sound judgment, and multi-task in a fast-paced office environment


Can handle confidential information with appropriate level of discretion and care


Prior experience working in a biotechnology company highly preferred.
